Job Purpose:
The Administrative Support Officer will provide comprehensive operational and administrative support across Accounts, Procurement, Sales Invoicing, Credit Control, HR, and Health & Safety functions. The role is critical in ensuring continuity, compliance, and operational efficiency across the department.
This position strengthens business resilience by removing single points of failure, maintaining essential processes during staff absences, and ensuring key financial and compliance activities are completed accurately and on time.
In addition to core administrative duties, the postholder will be developed as the Office Manager's designated deputy and understudy. This includes providing operational cover for direct reports and assuming leadership responsibilities during periods of absence, supporting succession planning and long-term departmental stability.
Key Responsibilities and Duties
Provide immediate and flexible support across Sales Invoicing, Procurement, Credit Control, Accounts, HR, and Health & Safety.
Maintain continuity during gap days, annual leave, or unexpected absences.
Ensure accurate and timely processing of documentation and records.
Support month-end and reporting processes as required.
Sales Invoicing - Assist in the preparation and processing of sales invoices.
Procurement - Raise purchase orders and maintain procurement records.
Support supplier relationship management through accurate and timely administration. Barclaycard reconciliation.
Credit Control - Monitor outstanding debtors.
Assist with chasing overdue payments.
Support reconciliation and reporting to reduce financial risk.
Support financial record keeping and reporting.
Assist with invoice processing and account reconciliations.
Ensure financial compliance and accuracy.
HR Administration - Provide administrative support across HR functions as required.
Maintain employee records and support onboarding documentation.
Ensure confidentiality and compliance with HR policies.
Health & Safety Administration - Maintain compliance documentation and records.
Support operational efficiency and reporting requirements.
Ensure no lapse in compliance during staff absences.
Deputy & Succession Support -
Act as operational deputy to the Senior Manager when required.
Provide cover for direct reports.
Develop knowledge across all core departmental functions.
Support continuous improvement and resilience planning.

Strong administrative and organisational skills.
Ability to work accurately in a fast-paced environment.
Adaptable and flexible with the ability to prioritise competing tasks.
High attention to detail.
Strong communication skills.
Proficient in Microsoft Office (Excel, Word, Outlook).
Experience working across finance, procurement, or compliance-related functions.
Desirable
Experience within accounts or credit control.
Knowledge of Health & Safety administration.
Experience in multi-functional operational support roles.
