EXECUTIVE PRODUCER

The Executive Producer will take the lead on large-scale, multi-faceted portfolios spanning complex international projects and high-profile clients. You own strategic client relationships and are accountable for driving significant revenue growth and profitability. You shape agency-wide production strategy, influence senior leadership decisions, and mentor Senior Producers and other key team members to elevate performance across the board.

You’ll lead complex, high-profile projects and accounts, champion creative excellence, and mentor teams, while supporting the Associate Director in broader business leadership and growth.

Success in this role comes from effective management and mentoring of a high performing team, the ability to lead and inspire others inside and outside the agency, playing a part in the profitable growth of the agency and delighting clients. Naturally, this role also requires both a creative and commercial mindset when balancing budgets while bringing briefs to life and creating industry - leading creative work.

You’ll work closely with the Associate Director, leading the day-to-day management of junior team members, ensuring strong performance, development, and growth.

The Executive Producer balances client relationship management, commercial growth, and creative production excellence. This role ensures events not only meet but exceed client expectations, while contributing to the agency’s revenue and reputation.

You’ll be hugely passionate about what you do and be excited to further develop your skills within a friendly and fast paced agency environment. We’re looking for someone who is naturally proactive and likes to get stuck in!

WHO YOU’LL BE WORKING WITH:

* Internal: You will mentor, coach and manage junior and mid-level teams to grow into senior roles.You will be responsible for their development, ensuring they are supported, trained, and effectively contributing to projects.
* External: You will work closely with senior-level clients, directors, and brand teams, managing relationships and ensuring smooth communication. You will also oversee key suppliers who need specialist and experienced knowledge and who are integral to activation success, including set builders, lighting and AV teams, stylists, venues, and specialist consultants, ensuring seamless execution.
* Line Manager: Reporting to the Production Director and Director, you will provide updates on project successes, developments, and any challenges, contributing to the agency’s long-term growth.

WHAT YOU’LL BE DOING:

As an Executive Producer, you’ll play a key role in leading the strategy, creative vision, and delivery of major client events, acting as the senior partner to clients while driving account growth, ensuring commercial profitability, and overseeing the work of producers, creatives, and brand teams. You are responsible for shaping and pitching bold event concepts, safeguarding quality and budgets, resolving complex challenges, and representing Heaps+Stacks externally, all while mentoring teams and strengthening the agency’s reputation in the market.

Your responsibilities will go beyond running projects — they will sit at the intersection of client strategy, creative leadership, and commercial growth. Here's what you'll be up to:

Executive Responsibilities

* Lead by Example: Bring energy, positivity, and a solutions-first approach to everything you do.
* Mentor senior producers and project managers: provide coaching, feedback, and development pathways.
* Agency vision: Ensure the team has clarity of vision, priorities, and deliverables.
* Promote agency culture: Set the tone for collaboration, inclusivity, and high standards across the team.
* Drive Agency Operations: Drive efficiency, creativity, and profitability across projects.
* Make Big Decisions: Take the lead on client accounts, always keeping our growth and long-term goals in mind.
* Build Client Relationships: Develop strong, lasting connections with senior clients, positioning us as their go-to creative partner.
* Cross-Agency Collaboration: Collaborate across Creative, Strategy, and Production teams to ensure alignment between concept, delivery, and commercial outcomes

Project Management

* Creative briefs: Take the lead on developing creative concepts that truly speak to the brand and hit the mark on project goals.
* Full project lifecycle: Oversee multiple large-scale events simultaneously, ensuring consistency of quality across all outputs.
* Event Lead: Take charge of delivering live events, making sure everything runs smoothly, no matter where the event is.
* Keep projects on schedule: Approve timelines, budgets, and project plans to ensure things stay on track.
* Resolve escalations: Act as the senior problem-solver for complex logistical or client challenges. Proactively identify and manage risks before they turn into problems (including financial, operational, and reputational risks.)
* Quality assurance: Ensure all creative, technical, and logistical elements meet the agency’s standards of excellence.
* Shape project resourcing: decide on freelance vs. in-house team mix for major projects.
* Sustainability: Ensure our creative concepts are sustainable and minimise waste
* Be Flexible: Be prepared for weekend and evening work when needed – no day is ever the same!

Budget Ownership

* Budget ownership: Take full ownership of large-scale event budgets (often £500k–£2m+).
* Budget tracking: Set, manage, and monitor budgets from pitch through to reconciliation - providing budget updates to agency leadership on project status.
* Budget reviews: Ensure transparency with clients on costs and protect agency profitability.
* Profitability: Track profitability throughout the project lifecycle, adjusting scope, resourcing, or suppliers if needed. Deliver projects within agreed margin targets.
* Track Performance: Keep an eye on P&L to make sure we’re staying on target and letting the team know how their spend is shaping up.
* Guide junior team members: Help junior staff stay on track with budgets and manage their financial contributions.
* Risk management: Flag risks to profitability early and implement mitigation plans.
* Post event reconciliation: Ensure accurate post-event reconciliation and reporting of profit/loss.

Team Development & Retention

* Mentor the team: Mentor and coach a small team of junior and mid-level teams to grow into senior roles (typically 2-4 people).
* Team review: Identify skills gaps and recommend training or recruitment needs to leadership.
* Ensure balance: Keep an eye on workloads to make sure everyone has the right mix of projects to grow their skills.
* Training: Provide regular coaching on project management, budgeting, and industry best practices.
* Performance Reviews: Lead performance reviews and help junior staff with career progression.
* Team Retention: Create an environment that attracts and retains top creative and production talent.

Pitching & New Business Development

* Create winning pitches: Prepare creative proposals and pitches that will wow potential clients, including physical samples like paper, fabrics, and F&B.
* Upsell & grow accounts: Look for opportunities to expand client relationships and bring in more business.
* Proactively seek new business: Stay on the lookout for potential new clients and industries where we can grow.
* Stay on trend: Keep up with industry trends to refine our approach and stand out from the competition.
* New business support: Support the new business team on new business calls - creating ballpark budgets for new business clients as and when needed.

Client Growth

* Own senior client relationships: Act as the trusted strategic partner to brand directors, and event leads.
* Client Experience & on boarding: Make sure our clients have a seamless, stress-free experience with us, making them feel settled in and want to come back for more.
* Post-Event Insights: Collect feedback after events to find ways to improve and grow.
* Grow revenue: identify upsell and cross-sell opportunities within existing accounts, ensuring client retention and expansion.
* Client roadmaps: Develop long-term plans for clients to ensure projects align with their bigger goals.
* Lead pitches: shape creative responses, present to clients, and convert opportunities.

Supplier & Third-Party Management

* Supplier relations: Oversee supplier relationships, making sure we’re getting the best value without sacrificing quality.
* Contract negotiation: Negotiate contracts and make sure third-party suppliers (i.e. set build, logistics partners, AV suppliers, freelancers) are on point with their work.
* Secure multiple quotes: Make sure we get competitive pricing by gathering quotes from multiple suppliers.
* Scope creep: Ensure contracts protect the agency against overruns, liability, or scope creep.
* Preferred suppliers: Build preferred supplier relationships to balance cost efficiency with quality.

Recruitment & Onboarding

* Freelancer management: Bring in freelance talent when needed, making sure they’re the right fit for the job.
* Freelance network: Build and maintain a network of trusted freelance talent.
* Candidate interviews: Take part in interviews for senior producers and junior producers. Assess candidates for both technical capability and cultural fit.
* Onboarding & integration: Brief new joiners or freelancers on agency culture, processes, and client expectations. Set clear responsibilities and ensure alignment with project vision.

Creative Direction & Strategy

* Set the creative vision: ensure events are innovative, on-brand, and strategically aligned with client objectives.
* Approve concepts and treatments: provide the final sign-off on event ideas, production and run-of-show.
* Champion innovation: push for new formats, technologies, and audience engagement methods.
* Ensure alignment with trends: sustainability, inclusivity, hybrid/virtual formats, and digital integration.

Studio & Operational Management

* Smooth Office Operations: Help keep the studio and production storage organised and running smoothly.
* Travel & Flexibility: Be ready to travel to Wandsworth and event locations when required, and work flexible hours as needed.

SALARY & TIME COMMITMENT

This role is predominantly office based (we imagine at least 2-3 days of your time would be in the office) and we are ideally looking for someone to work full time.

Please note we review salary regularly to make sure the team moves in line with the business as well as their individual efforts!

WHAT YOU MIGHT HAVE DONE BEFORE:

To be considered for this position we are looking for candidates with 8-10 years minimum experience working within an event or experiential agency. We are looking for experience in delivering integrated campaigns involving events, knowledge of the whole creative process and the ability to interpret a brand and develop creative concepts.

WHY JOIN US?

* Collaboration – As pretty much all of our projects include site visits, handling of physical items, deliveries and face to face brainstorms, we recommend 2-3 days in the office per week for collaboration, to get the best results. Tuesdays are days we ask people to come in, and we've realised that 2-3 days per week in the office is the average that people come in and that works well.
* Flexi Working Times– The team can work their 7.5 hours with a start and finish that suits them. This is completely up to the teammate to decide on their own accord, but of course altered working hours must not disrupt the wider team or the paying client.
* Meeting Free Fridays – This is to give the team time to wrap up their work as well as a good amount of time, uninterrupted, to get stuck into deep work.
* Training – We are proud to offer training to all teammates including group training days with varying themes and topics, as well as offering teammates further training to upskill for the maximum value of £500 per year.
* Duvet Days – Our team have 2 duvet days per year. A duvet day can be taken whenever a teammate needs a day off at random and they haven’t already requested annual leave. Maybe they have just woken up and feel like they need to be alone or they are super tired and just want to curl up on the sofa. These days are for the team member.
* Volunteering Day – We offer teammates up to 2 days per year of volunteering on company time - which is up to the teammate to use how they wish.
* Holiday – We offer 28 days annual leave per year. With 3 days of this holiday entitlement to cover the period of the Company shutdown between Christmas and New Year. After a teammate has completed two years working at Heaps + Stacks, they are entitled to 1 day extra holiday per year for each additional year of service, capped at a maximum of 33 days holiday per year (excluding Bank Holiday and National Holidays).
* After three years of service with Heaps + Stacks, team members are entitled to a one off, £1000 bonus.
* After five years of service with Heaps + Stacks, we offer team members the opportunity to take a one month fully paid sabbatical.
* Mobile Phone Allowance – Each month we will pay £20 towards the team members mobile phone bill. There's nothing that they need to do; this will be added into their pay each month.
* Maternity / Paternity - We will pay enhanced maternity/paternity/adoption pay if the team member meets the relevant criteria.
* Expensed Gallery Trips – We offer each team member £25.00 to expense for a visit to a gallery or exhibition every month.
* Good Egg – At the end of the month the team votes who has gone above and beyond that month, and whoever receives the most votes is rewarded with a Selfridges voucher.
* Work Abroad – Up to one week per year to work aboard, as long as it doesn't cause stress to the team! (Full T&Cs to be confirmed if successful).
* You Move, We move – We want our team to feel settled. So, if they are moving house, they can book one van per year on us! (Full T&Cs to be confirmed if successful).
* Quarterly Celebration – Every quarter, we will be celebrating our successes together as a team. This might be a team trip to the pub, or an arty or active activity! We have an in-house social committee that is dedicated to ensuring something fun and magical is planned for us all!
* Bonus & Profit Share – We also offer a range of bonuses to employees including introduction, business performance and new business bonus. Full T&Cs will be given to all successful candidates.
* H + S Library – Buy a book on the gold card (this can be audio or hard copy) for the value of up to £20. If it’s a hard copy, please bring it into the office once finished. We suggest buying 2nd hand (to save the world!). If it’s audio, don’t sign up for a subscription!
* Cycle to Work – The cycle-to-work scheme allows teammates to obtain commuter bikes and cycling accessories through Heaps + Stacks, spreading the cost over 12 months and making savings through a tax break.
* Health Care – Once the teammate has completed 1 year with us, they can access the healthcare policy provided by Bupa!
* Eye Test – We offer a free annual eye test up to £25. Team members can visit any optician and claim back the cost for the eye test on expenses (glasses excluded).
