Job Description
Provide day-to-day administration support to regional teams in support of the business plan. Immediate start preferred.
Specific Responsibilities
* Ensure understanding and adherence to United Living HSE&Q standards, operating processes, company policies, and legislative requirements.
* Learn and adopt United Way working processes into daily routines.
* Offer comprehensive administrative support to projects, offices, and departments as needed.
* Create and maintain office systems, including site files, health and safety files, and related documentation following company procedures.
* Format documents using Word, TotalMobile, and Excel for reports and presentations.
* Manage the survey function on TotalMobile during pre-works, highlighting potential issues timely.
* Produce weekly project status summaries and manage project trackers.
* Communicate with residents via letter or phone to schedule appointments and obtain waivers during surveys.
* Liaise with clients to resolve issues promptly.
* File, scan, and upload documents throughout project phases, ensuring proper archiving per Document Management System standards.
* Compile and produce project-specific Health and Safety Files and O & M manuals.
* Update property notes on TotalMobile to keep the project team informed.
* Assist in producing site literature and support division members as needed.
* Maintain the Divisional Archiving system according to procedures.
* Handle document registration, issuance, scanning, and filing; archive completed documents appropriately.
* Perform general office duties as required.
* Travel to site occasionally, based on business needs.
Based at Swanley.
Qualifications
* Proficient in Microsoft Office, especially Excel.
* Well-organized with good time management skills.
* Strong written and oral communication skills.
* Previous experience in an administrative role.
