Working as part of a team, the post holder will support the provision of a high‑quality secretarial and administrative service to the Child Death Review Team and service. The post holder must exercise initiative to organise their own workload within the defined role and deadlines.
Responsibilities
* Provide high‑quality secretarial and administrative support to the Child Death Review Team, which is responsible for Joint Agency Response arrangements following sudden child death and gathering information on both sudden and expected deaths.
* Notify child deaths on the National Child Mortality Database platform (eCDOP); maintain and develop a spreadsheet of all deaths.
* Support the work of the Designated Doctors for Child Deaths (DDCD), lead nurses, and the nursing team.
* Manage a rota, receive, record and distribute correspondence, and arrange regular and ad‑hoc meetings.
* Produce clear and concise minutes of meetings and assist with report writing and data analysis/presentation.
* Work in a hybrid arrangement: office at the Queens Medical Centre, some work at Kingsmill Hospital, and opportunities for home working.
* Maintain administrative systems in partnership with another SPA, including SharePoint, electronic filing, checklists and circulation lists.
* Coordinate meetings involving senior staff from within and outside the Trust, including booking venues, sending Microsoft Teams invites, organising refreshments and presentation aids.
* Operate a ‘bring‑forward’ system to ensure issues are followed up on time.
* Assist in the preparation of reports, presentations and database submissions to eCDOP.
* Support Child Death Trigger submissions on the Datix system and notify local health professionals and electronic health systems of a child’s death.
* Use health electronic systems to look up and retrieve information as necessary.
* Work effectively with other PAs in the Child Death Review Team to ensure cross‑cover for holidays and other absences and deliver work on time.
* Maintain knowledge of the organisational structure within Nottingham University Hospitals, Sherwood Forest Hospitals and relevant external agencies (e.g., ICB).
