Position Overview

We are seeking a highly organised, proactive, and professional Personal Assistant to provide comprehensive administrative and organisational support to the Chief Executive Officer (CEO) and board members. This role requires a high level of discretion, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be resourceful, adaptable, and able to anticipate the needs of senior stakeholders.

Key Responsibilities

* Provide high-level administrative support to the CEO and board members.
* Efficiently manage the CEO's diary, scheduling meetings, arranging travel itineraries and organising accommodation to ensure seamless daily operations and effective time management.
* Prepare, proofread, and edit correspondence, reports, presentations, and other documents as required.
* Organise and coordinate board meetings, executive off-sites, and special events, including preparing agendas, taking minutes, and following up on action items.
* Monitor and manage incoming communications (emails, calls, post) and respond or delegate as appropriate.
* Assist with the preparation and distribution of board packs and executive materials.
* Maintain accurate records, files, and documentation for the CEO and board.
* Liaise with other departments and external partners on behalf of the CEO and executives.
* Undertake ad hoc projects and research as requested by the CEO or board.
* Ensure all activities comply with company policies and maintain strict confidentiality at all times.
* Travel as required.

Person Specification

* Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting C-suite executives or board members preferred.
* Exceptional organisational and time management skills, with the ability to multitask and prioritise effectively.
* Excellent written and verbal communication skills, with strong attention to detail.
* Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual meeting platforms.
* Professional, approachable, and calm under pressure.
* Ability to work independently and as part of a team.
* Offer a flexible approach to accommodate business needs as requested by the CEO.

Marketing & Customer Services Duties

* Plan, organize and administer all company and corporate events as requested by the Marketing Director.
* Assist the Marketing Department during busy periods and provide general assistance in administration/typing as requested.
