Job Summary: We are seeking a highly organized and detail-oriented Project Coordinator to support the planning, execution, and completion of AV and technical projects. The ideal candidate will work closely with clients, internal teams, and stakeholders to ensure projects are delivered on time, within scope, and within budget. This role requires excellent communication, problem-solving, and project management skills.

Responsibilities:

Project Planning & Execution:

Assist in defining project scope, goals, and deliverables in collaboration with clients and internal teams.

Develop and maintain project plans, schedules, and budgets to track progress.

Support the procurement and deployment of necessary equipment, materials, and personnel.

Monitor project timelines and ensure key milestones are met.

Resource & Team Coordination:

Coordinate resources efficiently, ensuring teams have the tools and information required for success.

Support project teams by fostering collaboration and accountability.

Provide administrative support, including documentation and reporting.

Client & Stakeholder Communication:

Serve as a key point of contact for clients, providing regular project updates and addressing inquiries.

Assist in managing client expectations and maintaining strong relationships.

Facilitate effective communication between internal teams, vendors, and stakeholders.

Quality Control & Risk Management:

Support the installation and integration of AV systems, ensuring quality standards are met.

Assist in testing and troubleshooting technical issues during project execution.

Identify potential risks and support the implementation of contingency plans.

Financial & Administrative Support:

Track project expenses and assist in budget management.

Identify cost-saving opportunities while maintaining quality and performance.

Prepare reports, documentation, and status updates for management and stakeholders.

Qualifications:

Bachelor's degree in Project Management, Business, or a related field.

1-3 years of experience in project coordination, preferably in AV or technical projects.

Basic knowledge of AV systems, equipment, and installation processes (preferred).

Strong organizational, communication, and problem-solving skills.

Proficiency in project management software and Microsoft Office Suite.

Ability to multitask and thrive in a fast-paced environment.
