JOB PURPOSE:
To provide systems, administration support, and professional guidance to employees and managers in matters relating to policies/procedures; employment legislation; employee relations, recruitment, performance management, training and development, and organizational design.
ROLE RESPONSIBILITIES:
Supporting the HR Manager and Site Management to deliver on engagement, performance excellence, and manager effectiveness in the following areas:
Employee Relations & Support
* Provide first-line HR advice on employee relations issues such as absence, disciplinary, grievances, capability, and performance.
* Manage and track all casework from start to finish.
* Ensure best practice and consistency in line with company procedures.
* Review, update, and implement policies and processes as required.
Performance Management
* Advise line managers on managing performance and the performance management cycle in line with Smurfit WestRock expectations and local site agreements.
* Provide administrative support to the pay review process according to the company’s compensation and benefits model.
Recruitment, Selection & Onboarding
Partner with the Talent Acquisition specialist in recruitment and be responsible for the recruitment and selection of employees, including:
* Providing administrative support, raising e-forms, issuing new joiner paperwork, conducting right-to-work checks, organizing onboarding, and conducting inductions.
* Preparing job descriptions and recruitment justifications.
* Shortlisting candidates and organizing selection methods.
* Conducting interviews, tests, assessments, and reference checks.
* Drafting offer letters and issuing employment terms and conditions.
HR Systems
Ensure accurate processing, maintenance, and security of HR data and systems, including:
* Managing HR data systems for new hires, changes, and leavers.
* Maintaining data integrity and accuracy.
* Ensuring GDPR compliance and confidentiality.
* Monitoring absence and providing data to payroll.
* Preparing HR KPIs and suggesting improvements.
* Maintaining employee records and files.
Talent Management
Support the HR Manager in:
* Identifying training needs and assisting with training program design and implementation.
* Advising managers on training issues.
* Arranging and delivering training sessions.
* Managing in-house training programs and maximizing grants and training levies.
* Monitoring key employee lifecycle milestones and escalating actions when necessary.
Health & Wellbeing
* Support initiatives to enhance wellbeing and engagement.
* Assist the H&S Manager in health, safety, and wellbeing at work.
KNOWLEDGE, SKILLS, EXPERIENCE
* Minimum of 2 years in a similar HR role.
* Excellent verbal and written communication skills.
* Knowledge of current employment law.
* Proficient in Microsoft Office.
* Experience in a unionized environment is desirable.
* Strong problem-solving and information handling skills.
* Organizational and planning abilities.
* CIPD qualification minimum level 3, ideally level 5.
