Responsible to: Menahel and Headteacher

Hours: Full Time from 8.15am to 4.30pm (early Fridays in winter)

Weeks: Term-time + first & last working weeks of summer holidays and staff inset days

Main Purpose:

* To provide executive assistant duties to the Menahel and Headteacher.

Responsibilities

* Screening phone calls, enquiries and requests, and handling them with professionalism and sensitivity.
* Scheduling meetings for the Menahel/Headteacher and maintaining their calendars.
* Ensuring the Menahel/Headteacher are well prepared for meetings, particularly the termly Governing Body meeting.
* Dealing with incoming correspondence, often corresponding on behalf of the Menahel/Headteacher, e.g., writing emails/letters and making phone calls.
* Assist with various HR processes, such as liaising with our HR team and the relevant staff members, preparing paperwork, attending meetings and taking minutes.
* Liaising with the school solicitors and ensuring employment policies and procedures are carried out appropriately.
* Handling the administration and processes in the recruitment of staff.
* Preparing adverts for staff vacancies.
* Assist with ensuring that statutory school policies are compliant and up to date. Ensuring policies on the school website are current.
* Clerk to Governors and providing Governors’ support as and when required, including, but not limited to, organising the termly Governing Body meetings, including location, refreshments, set-up, etc.
* Assisting with school admissions.
* Maintaining a record of staff safeguarding training and ensuring that the Safeguarding Team are up to date on their training.
* Organising Safeguarding and Prevent training for the start of the school year.
* Preparing school calendars and term dates documents.
* Liaising with staff, parents, Governors, agencies and other stakeholders.
* Assist in preparing end of year school reports.
* Helping with the administering of first aid (training will be provided).
* Other reasonable activities as and when called upon.

Person Specification

* Exceptional written and oral communication skills.
* Excellent word processing and IT skills, including knowledge of a range of software packages.
* Knowledge of how to use AI effectively to make processes more efficient and recognising when it would not be appropriate to use AI.
* Ability to read, write and type Hebrew.
* Ability to touch type in English.
* Excellent organisational and time management skills.
* Ability to work on own initiative as well as the ability to work as part of a team.
* Flexibility to juggle a range of different tasks.
* Ability to work under pressure and to tight deadlines.
* Strong research skills, including the ability to research, analyse and present material clearly and concisely.
* Ability to maintain discretion and confidentiality.
* Excellent interpersonal skills.
* Honest and reliable.
* Attention to detail.

* Undertake such additional duties or projects as the Menahel or Headteacher may determine from time to time to support the smooth running of the school.

* Be familiar with Safeguarding requirements as outlined in the document Guidance for safer working practice for adults who work with children and young people in educational settings and comply with its requirements to safeguard and protect the welfare of children, and young people.
