Job Description
Document Controller Warwick/Midlands (Mainly remote) - 6 Month Contract
Job Purpose: To provide Document Control for complex multi-site projects to ensure the delivery of compliant and traceable project documentation.
Key Accountabilities:
1. Be the key interface with the Main Works Contractor's document controller(s) and systems to ensure all contractual documents are correctly administered in compliance with policies and procedures.
2. Prepare document transmittal notes and maintain all documents received and issued by the Project Team(s).
3. Ensure all documents are reviewed and approved by relevant individuals/functions prior to issue, meeting internal SLAs and contractual deadlines.
4. Ensure changes and current revision status of documents are identified, legible, and easily identifiable.
5. Distribute external documents to the correct individuals/departments in line with contractual obligations.
6. Control, trace, and record the issue status of all project documentation to ensure an adequate audit trail.
7. Produce simple MI and reports for management on overdue workflows and document volumes to promote compliance and continuous improvement.
8. Prevent unintended use of obsolete documents and apply suitable identification if they are retained.
9. Log, distribute promptly, and keep updated various instructions from consultants, clients, project managers, etc.
10. Establish and maintain a Request for Information system, providing reports to the Project Team.
11. Provide guidance on the operation and functionality of the document control system and source training, technical, and procedural support for all users.
12. Enforce procedures and standards defined in the project's protocols and procedures.
13. Review all comments on documents to ensure electronic inclusion and audit trail integrity.
Knowledge, Experience & Technical Knowhow:
* Experience with MS applications (Excel, PowerPoint, Word) and SharePoint or other collaboration software like Autodesk.
* Experience in project delivery, naming conventions, and metadata in Document Control.
* Awareness of Construction contract environment, contractual terms, and processes.
* Experience working across teams, building relationships, and working closely with project delivery teams.
* Experience managing formal documentation control, including process flow and ISO 19650 BIM standards.
* Knowledge of project handover records and CDM Health & Safety file requirements.
* Experience fostering a culture of continuous improvement through systems and procedures.
