Job Summary The Executive Assistant will provide high-level administrative support to MD, ensuring smooth operations and assisting with both day-to-day activities and long-term projects. The ideal candidate will be proactive, organized, and possess excellent communication skills, able to manage complex schedules and anticipate the needs of executives.
Responsibilities
Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
Coordinate and prioritize tasks to ensure deadlines are met.
Prepare and edit correspondence, reports, presentations, and other documents.
Handle confidential information with discretion and professionalism.
Answer calls, screen emails, and respond to inquiries as appropriate.
Draft and review communication on behalf of the executive.
Organize travel arrangements including flights, accommodations, and transportation.
Create detailed itineraries for business trips, ensuring all logistics are handled.
Coordinate events, meetings, and conferences for the executive and team.
Manage logistics for internal and external events, such as company meetings or client presentations.
Support and track the progress of ongoing projects.
Assist in preparing reports, presentations, and other deliverables for key projects.
Ensure tasks and projects are completed within deadlines and standards.
Identify opportunities for process improvement and recommend solutions.
Provide proactive support to the executive, anticipating needs and managing issues before they arise.

Experience
Proven experience as an Executive Assistant or in a similar administrative support role.
Experience managing executive calendars, coordinating meetings, and handling travel logistics.
Exceptional organizational and time management skills.
Strong communication skills, both written and verbal.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to manage multiple priorities and work under pressure.
High attention to detail and accuracy.
Discretion and confidentiality in handling sensitive information.
Proactive, resourceful, and self-motivated.
Strong interpersonal skills with the ability to interact with various levels of staff, executives, and clients.
Flexibility to adapt to changing priorities.
