The Commissioning and Work Recording (CWR) team plays a pivotal role within the Specialist Division (SPD). It is an integral support function to delivery processes for SPD's units by providing strategic oversight, direction, and operational support for commissioning and work recording activities. The team collaborates closely with divisional leads, Technical Strategic Leads (TSLs), Team Leaders (TLs), and Inspectors to ensure consistent, high‑quality delivery aligned with organisational priorities. As SPD works to align with Science Division, the role of the CWR team will expand and evolve to support wider organisational priorities, it is imperative CWR is resourced efficiently to provide that support.
As part of this structure, the CWR Support Colleague acts to support divisional performance, supporting both proactive planning and responsive service delivery through the commissioning and work recording processes. The role is a central point of contact for Inspectors, Heads of Units, other HSE divisions, and external stakeholders, ensuring cross‑divisional coordination which aligns to the strategic aims of the HSE Strategy and annual Business Plan.
Working Pattern
Part time working hours are available for this role. We can accept part time applicants who can commit to working a minimum of 30 hours per week.
Responsibilities
* Maintain the CWR commissioning SharePoint list by ensuring that questions and queries are answered and tracking the progress of activity
* Capture proposals for new commissioning activities, ensure the TL is aware and respond to customers via a central inbox
* Produce meaningful management reports from the information held in Power BI
* Support the routing of queries related to commissioning and ongoing active work areas
* Explain to colleagues processes for planning, commissioning and monitoring work
* Support CWR meetings and delivery of internal workshops
* Maintain the Division's learning and Development database, supporting TLs across the Division in timely completion of learning activities
* Maintain the CWR Power BI dashboards which produce reports for the wider Division

Qualifications / Experience
* Experience of work planning including development of aims and objectives and associated activities
* Experience of Data Analytics to interpret data requirements and present data in a clear and compelling way, using graphical representations and data visualisations
* Ability to work with MS365 systems to capture information and report key information
* Experience of working effectively as part of a team and working collaboratively with internal and external stakeholders, drawing on their expertise as required
* Ability to balance competing priorities and achieve objectives at pace
* Good organisational and planning skills, and the ability to take responsibility for delivering outcomes on time to the required standard
* English Language and Maths GCSE grade C/grade 4 (Scottish National 5 certificates grade A to C) or an equivalent (e.g. a level 8 in the International English Language Testing System)
