CJS Recruitment are seeking an experienced Operations Administrator to support the day-to-day running of the operations team. This pivotal role ensures the smooth coordination of reactive jobs, supports field teams, manages client communications, and maintains accurate operational records. You will play a critical part in enabling the company to deliver efficient, timely, and compliant services in often high-pressure environments.
KEY RESPONSIBILITIES:
1. Coordinate incoming job requests and schedule reactive work accordingly
2. Liaise with clients to confirm job details, requirements, access, and timelines
3. Support Operations and Field engineers with resource allocation, equipment logistics, and staff coordination
4. Maintain job tracking systems, ensuring all paperwork, risk assessments, and compliance documentation are accurate and up to date
5. Process reports from operatives and prepare client-ready documentation including job completion reports, photos, and invoices
6. Ensure all Health & Safety and industry compliance standards are met and documented
7. Manage and update CRM and job management software
8. Monitor stock levels of specialist supplies and PPE, placing orders when necessary
9. Provide general administrative support to the operations department
10. Respond to urgent queries and escalate operational issues when necessary
REQUIREMENTS:
* Proven experience in an administrative or operations role, ideally within a reactive environment
* Strong understanding of reactive jobs scheduling and coordination under tight timeframes
* Excellent organisational and time management skills
* Proficient in Microsoft Office and job management software
* Excellent communication skills - both written and verbal
* High level of accuracy and attention to detail
* Ability to remain calm and effective in high-pressure, fast-moving situations
