Position: Transport & Admin Co-Ordinator
* Salary: £25,000 - £28,000 per annum
* Location: Broxbourne, Herts
* Contract Type: Permanent / Monday to Friday 09:00 – 17:30, hours may vary

Job Role:
Within this role you will be responsible for providing Transportation services to vulnerable children and work closely with Local Authorities to ensure that all children are provided with the experience they deserve. They are looking for an Transport & Admin Co-Ordinator to support the team, where your main purpose of the role is to assist in the execution and direction of all Transportation matters and the upkeep of HR and compliance.
Job Duties & Responsibilities:
Your duties and responsibilities will be split predominantly between the Transport and the HR Department.
With regard to the Transport Department, you will be required to:
Transport Operations Management
Oversee transport requests from start to finish (initial contact, quote, authorisation, planning, briefing of team, and final reporting to the Local Authority).
Keep all transport details tracked and updated to ensure targets are achieved.
Liaise with EDT (Out of Hours team) to ensure they are informed of any changes in relation to availability or processes.
Provide occasional on-call support during evenings and weekends in the absence of the Transport Manager, with additional remuneration provided.
Fleet & Vehicle Management
Ensure all vehicles are safe and meet legal requirements.
Manage vehicle maintenance and services across all fleet vehicles in all departments.
Coordinate or carry out vehicle movements for services, MOTs, and repair appointments as required.
Driver Performance & Compliance
Complete monthly driving analysis reports and provide each driver with a personal scorecard.
Communicate with drivers where concerns have been identified.
Assist in accident checks and reporting, including liaising with insurers and managing claims.
Oversee, monitor and complete all driving-based assessments for any staff requiring vehicle use. This involves 6 monthly DVLA licence checks and completing driving assessments with all newly employed staff members.
Scheduling & Resource Planning
Ensure the transport rota is maintained and completed monthly using the WhenIWork platform.
Technology & Systems Management
Be responsible for all Transport Department technology (office displays, team phones/tablets, and transport app).
Manage the vehicle telematics system (Teletrac Navman Director), including vehicle tracking and driver key codes.
Make amendments to Excel and Google Sheets using formulas where required.
General Responsibilities
Complete any reasonable and lawful instruction related to work as directed by an authorised person
With regard to the HR Department, you will be required to:
Recruitment and Selection
Manage the end-to-end recruitment process, including job descriptions, advertising, interviewing, and onboarding.
Ensuring all preemployment checks are completed and compliant, including the ordering and verification of enhanced DBS certificates.
Compliance and Policy
Maintaining accurate and up-to-date employee records and documentation.
Managing HR-related paperwork and reporting requirements.
Ensuring the organisation complies with safeguarding policies and procedures.
Training and Development
Maintaining and tracking the staff training matrix, ensuring all staff are up to date with relevant training.
Ensuring staff have access to necessary training and resources.
HR Administration
Managing the administration of personnel records and documentation.
Maintaining employee data on the HR system – Sage HR.
Requirement & Skills:
GCSE in Maths and English
Full UK Driving Licence
Participate in compulsory training when required to attend
Maintain confidentiality at all times, in accordance with agreed policy
You must be able to commute to the head office in Broxbourne, Hertfordshire
Excellent interpersonal and communication skills
Excellent IT literacy, particularly Excel and Google Sheets
Effectively communicate with colleagues and external stakeholders at all levels
Ideally, someone with experience of working within a Transport based office role
