The role : The Procurement and Pharmacy Coordinator ensures timely and cost-effective sourcing of medicines and supplies, supporting continuous patient care. The role combines procurement, supply chain, and pharmacy operationsmanaging suppliers, monitoring inventory, ensuring regulatory compliance, and aligning procurement with clinical needs. Main Duties and Responsibilities Tenders and quotes: Responsible for the timely research, sourcing and pricing of quotes and tenders for internal and external customers. This includes identifying new manufacturers and/or sources of supply to ensure that our pricing is competitive to win the quote/tender within the target margins. Negotiation with manufacturers to secure best prices. Liaison and where necessary negotiation with customers to secure business. Stock sourcing and purchase: Receipt and timely processing of customer orders. Sourcing of stock for orders and the negotiation of pricing with suppliers. Accurate raising of purchase orders (PO) against suppliers for the relevant products. Coordination (with warehouse) of the checking and booking in of stock into the inventory management system. Where necessary, identifying products to be held in stock in anticipation of customer orders, and coordination of the inventory management of this stock to minimise stock write offs. Invoicing and delivery: Creation of picking list for warehouse to pick customer orders. Timely notification of shortages to customers against their original order. Timely and accurate invoicing of stock to customers. Coordination of delivery of stock to customers, ensuring GDP compliant deliveries, including cold chain and controlled drugs. Third Party website fulfilment and internet orders: Timely processing of website orders, including sourcing of stock and inventory management, administration of relevant documentation on the website/inventory management system. Liaison with warehouse to ensure efficient receipt/picking/packing of orders. Preparation of management reports to record sales transactions for accounts and principals. Providing cover for colleagues in related roles/departments during periods of absence either due to vacation or sickness. Undertaking monthly stock takes and resolving any discrepancies/issues arising from this in conjunction with the finance department. Clerical assistance to the pharmacy team: facilitating the registration of patients, the ordering and receipt of prescriptions, maintenance of paperwork for the services we provide. Arranging and facilitating timely hospitality for internal management and in-house meetings with customers/suppliers, including negotiation with third party catering suppliers where required. Other duties that senior management would from time to time reasonably require. Candidate Requirements Essential: Degree or diploma in pharmacy, pharmaceutical sciences, supply chain, business administration, or a related field. Proven experience in procurement, supply chain management, or pharmacy operations, preferably in a healthcare or pharmaceutical setting. Strong knowledge of pharmaceutical products, inventory management, and procurement processes. Familiarity with regulatory and quality standards (e.g., GDP, GMP, MHRA). Excellent organizational, coordination, and time management skills. Strong negotiation and vendor management experience. Proficiency in procurement/ERP systems and Microsoft Office applications. High attention to detail with a focus on compliance and accuracy. Ability to work collaboratively with cross-functional teams and external partners. Desirable: Professional certification in procurement or supply chain (e.g., CIPS, APICS).
