Position Summary:
We are looking for a highly organised and personable Dental Receptionist to become an integral part of our team. The ideal candidate will possess exceptional communication skills, a professional demeanour, and the ability to efficiently manage multiple tasks in a fast-paced environment. As the first point of contact for our patients, the Dental Receptionist will be responsible for coordinating appointments, addressing patient enquiries, and ensuring the seamless operation of the practice.
Key Responsibilities:
1. Greeting and welcoming patients: Serve as the first point of contact for our patients, providing a warm and professional welcome.
2. Answering and directing phone calls: Manage incoming calls and supporting patients with their needs/requests in a professional manner.
3. Scheduling and managing appointments: Coordinate appointments and diary management.
4. Maintaining the reception area: Keep the reception area tidy, organised, and presentable.
5. Assisting with administrative tasks: Support other departments with basic administrative duties, e-mail and referral correspondence.
6. Processing payments: Complete payment processing, handle billing queries, and ensure accurate record-keeping.
7. Team player: Liaise with all team members to ensure smooth communication and workflow throughout the practice.
8. Customer service: Address patient concerns and complaints in a courteous and professional manner. Provide exceptional customer service to ensure a positive patient experience.
Experience:
* Secondary school GCSEs or equivalent; additional certification in office administration or related fields is a plus.
* Proven experience as a receptionist, preferably in a dental or medical setting.
* Proficient in dental practice management software (e.g., EXACT).
* Excellent organisational and multitasking abilities.
* Strong communication skills, both written and verbal.
* Professional and friendly demeanour with a focus on customer service.
* Ability to handle sensitive information with confidentiality.
* Basic knowledge of dental terminology and procedures (preferred).
Working Conditions:
* 40 hours per week with some flexibility required for early morning or later shifts. Alternate Saturdays are required, with a half-day in lieu given.
