Job Description

Job Title: School SecretaryLocation: MacclesfieldSalary: The salary for the role will be £24,623 based on an all-year round working pattern of 50/52 weeks with a 2-week summer shutdown.Job Type: Permanent, Full Time. Monday to Friday, 8.30 am-5pm, 37.5 hours per week working Monday to Friday between the hours of 8.30 am and 5.00 pm with a one-hour unpaid lunch break.Closing date: 21st July 2025.We plan to interview for this post on Thursday 24 July 2025.The role:This post is for a full-time, year-round School Secretary. The role will be based within the Main Office and will involve supporting the Deputy Head (Operations) as well as undertaking other Senior Division related activities.

The role may also require occasional cover for other Foundation-wide administration.School secretaries play a pivotal role in ensuring the smooth running of King's. They offer support to pupils and parents, often acting as the initial point of contact for a host of routine and administrative matters. Secretaries also support members of staff with a variety of organisational and administrative tasks.

The School currently has a team of School Secretaries, based in the two main receptions. This recruitment is for a Secretary to be based in the Main Office and support the Senior Division. However, secretaries may be required to fill in for colleagues as appropriate.

As such, a high degree of flexibility will be required. School Secretaries are subject to different pressures at various times of the day and year. The appointed candidate will need to be involved in all aspects of running an efficient secretarial office.Person specification:The post would suit an experienced and adaptable secretary or PA with good attention to detail, organisational skills and strong communication skills as regular contact with pupils and parents is essential.

Experience of working in a school would be beneficial, but not essential.It is expected that candidates will be able to give evidence of:excellent oral and written communication skills;a high degree of personal organisation and efficiency;an enthusiastic and supportive secretary who is able to build rapport with pupils, parents and staff;experience of Microsoft packages;an interest in and enthusiasm for the school and its pupils.This is a customer-facing role, which requires strong communication and organisational skills. The post holder will be required to work collaboratively with colleagues, with various departments within the School, and may occasionally be required to cover in other offices within the school.Main Office duties:To undertake reception duties with respect to answering the phone, welcoming visitors and parents, assisting with other administration;To monitor the computerised pupil registration process (Daily Registers), remind staff of absences not authorised;To assist with the organisation of school events such as assemblies, celebration assemblies, the Activities Fair, concerts, trips, charity events, services, etc;To produce the Weekly Parental Bulletin and distribute to parents on each Friday;To provide administrative support to the Deputy Head (Operations) as well as the Principal of the Senior Division and other teachers in the Seniors;To attend to any queries at the pupil counter and assist in the signing in and out of pupils;To liaise between parents, staff and other agencies by telephone or in person;To support the Deputy Head with the organisation of the School calendar;To support the Deputy Head with the organisation of the Duty Rotas;To support the Deputy Head with the organisation of the SOCS extra-curricular system;To support teachers/staff with the administration of school trips;To help organise the Year 11 Prom, leavers' day and leavers' hoodies;To help organise the new pupil induction events including the 'Welcome Evening' and Induction morning;To act in preparation and support at Open events, examinations, transition visits, etc;To assist in basic first aid (e.g. provide plasters) and escalate issues to the School Nurse;To process incoming and outgoing post and mailings;General office assistance and cover as required;Other duties as requested by members of the Senior Management Team.Extra information:Full-time holiday entitlement is 18 days, rising to 23 days after five years' service plus four Christmas shutdown days and all Bank holidays.
