Hours: Full Time (09:00 – 17:30 Monday to Thursday & 09:00 – 17:00 on Friday)

Holiday: 25 days holiday increasing with length of service


An Overview of the Role

The Payout Team Leader is responsible for the day-to-day leadership, performance, and delivery of an assigned Payout team. This role ensures that work is completed accurately, consistently, and within agreed service levels, while maintaining strong quality standards and supporting the development and engagement of team members.

* The role acts as a key escalation point, provides clear direction and coaching to the team, and plays an active role in improving processes and building capability across the Payout function.
* It requires strong attention to detail, sound judgement, and the ability to manage workload effectively within agreed service levels.
* The role includes shared responsibility for quality assurance activity and acts as a key support to the Payout Manager.
* Includes line management responsibility for the assigned payout sub team.


What you'll be responsible for:


Deal & Documentation Processing

* Review new business documentation to ensure deals meet legal, regulatory, and internal policy requirements.
* Validate that all required documentation is present, accurate, and correctly executed prior to payout.
* Liaise with internal teams, suppliers, and dealers to resolve missing, incorrect, or unclear documentation.
* Progress deals through the CRM system in line with agreed processes and SLAs.
* Apply company policies, procedures, and risk controls consistently when assessing deals.
* Identify potential risks, discrepancies, or concerns and escalate appropriately.
* Maintain accurate records to support audit and compliance requirements.


Service Delivery

* Manage individual workloads to ensure turnaround times are met.
* Deliver a professional and responsive service to internal and external stakeholders.
* Support continuous improvement by highlighting recurring issues or process inefficiencies.
* Liaise with internal stakeholders to ensure documentation is directed correctly.
* Respond professionally and promptly to internal queries relating to document receipt and case allocation.
* Escalate issues where volumes, backlogs, or system issues may impact service delivery.


Advanced Deal Processing

* Process complex, high-value, or higher-risk deals requiring advanced technical knowledge and judgement.
* Act as an escalation point for Payout Officers on technical or process-related queries.
* Ensure consistent application of policy and controls across all deals reviewed.


Quality Assurance (Shared Responsibility)

* Complete regular QA checks on Payout Officer work in line with the QA framework.
* Provide timely, constructive feedback and coaching to support individual and team improvement.
* Identify recurring errors or trends and highlight these to the Team Leader.
* Support the achievement of a team-wide error rate of no more than 5%.


Coaching & Support

* Mentor Payout Officers, sharing knowledge and best practice.
* Support onboarding and training of new team members.
* Act as a positive role model for quality, professionalism, and ownership.


In addition to the Senior Payout Team Officer Responsibilities, the Team Leader is accountable for:


Operational Delivery

* Lead the day-to-day operation of the assigned Payout team, ensuring workloads are planned and prioritised effectively.
* Ensure all deals are processed accurately and within agreed SLAs.
* Act as the first escalation point for complex, high-risk, or urgent payout queries.
* Monitor volumes, backlogs, and capacity, taking proactive action to address issues.
* Complete deal processing alongside leadership responsibilities, particularly for complex, urgent, or escalated cases.


People Management

* Provide full line management responsibility for team members, including regular 1:1s, objective setting, performance management, and annual appraisals.
* Support the development of team members through coaching, feedback, and targeted development plans.
* Foster a positive, inclusive, and high-performing team culture.


Quality Assurance & Risk

* Own team-level QA performance and ensure QA activity is completed consistently and effectively.
* Review QA findings, identify trends, and implement corrective actions.
* Ensure team error rates remain within agreed thresholds (≤5%).
* Promote strong risk awareness and adherence to policies and procedures.
* Support onboarding and training of new starters.
* Identify skills gaps and work with Payout Officers to improve capability.
* Proactively suggest and support process improvements to enhance efficiency and quality.
