Job Description

This position ensures the delivery and adherence to various Workplace Services procedures and contributes to maintaining a high standard of service throughout the account.

In addition to managing the Helpdesk operations, the Coordinator will take responsibility for a range of financial and administrative tasks. These include supporting the Account Leadership Team with regular reporting, data gathering, and handling ad hoc requests.

The ideal candidate will be highly organised, proactive, and able to manage multiple responsibilities in a fast-paced environment.

This role offers great visibility across the account and is suited to someone who is confident in communication, process-driven, and eager to support continuous improvement and operational efficiency.

Key Responsibilities

1. Manage and deliver an effective domestic and international helpdesk service
2. Maintain and improve Helpdesk policies, procedures, and compliance
3. Produce and present service reports, KPIs, and daily task tracking
4. Monitor CAFM system tasks and Facilities inbox, ensuring SLA compliance
5. Support vendor engagement, incident reporting, and issue escalation
6. Raise POs, manage invoices, and support onboarding processes
7. Provide cover for Workplace Services Manager and support account reporting

Professional and Personal Competencies/Qualifications

8. FM or Workplace experience, ideally in Banking or Professional Services
9. Proven ability to manage multiple tasks in a fast-paced environment
10. Self-starter with strong service orientation and attention to detail
11. Confident, numerate, and able to work independently and collaboratively
12. Positive, flexible attitude with strong task prioritisation skills
13. Excellent verbal and written communication skills
14. High computer literacy, including Excel, PowerPoint, Word, and Coupa
