Job Summary
The Compliance Coordinator is responsible for organizing quality improvement activities intended to monitor and provide feedback related to the quality-of-service delivery within the program. This position manages implementation and ongoing compliance with the Federal Office of Refugee Resettlement (ORR) Policy. The Compliance Coordinator supports the LTFC team to ensure that essential program functions occur in accordance with state and federal regulations. The role also includes responsibility for all training within the LTFC department.
Duties & Essential Job Functions
* Ensure compliance with all standards, including national accreditation, federal and state licensure, and serve as an internal resource on applicable regulations.
* Assist staff in implementing, monitoring, evaluating, and planning procedures and activities across service delivery areas and for risk management.
* Identify and update policies and procedures based on program needs and regulatory changes; maintain documentation in manuals and training materials.
* Draft new training materials as needed and provide relevant trainings to staff.
* Maintain understanding of legal statutes influencing the IFR/PSA, such as the Prison Rape Elimination Act, Violence Against Women Act, and Flores v. Reno Settlement Agreement; share legal background with leadership to ensure compliance.
* Conduct monthly facility audits to verify posting of PSA materials, document compliance, and implement corrective actions as needed.
* Perform monthly monitoring checks of phone number programming, including hotlines and legal contacts, updating as necessary.
* Act as the primary contact for PSA audit processes, supporting internal and external audits and addressing findings with corrective actions.
* Coordinate with external resources for reporting and response to sexual abuse or harassment cases.
* Facilitate PSA and ORR Code of Conduct training, updating materials regularly.
* Serve as the contact for ORR's PSA Coordinator and BCC’s PSA Compliance Administrator regarding policy and standards.
* Prepare and submit quarterly and annual reports on incidents and investigations related to sexual abuse and harassment.
* Use audit data and ORR reports to identify trends and provide feedback for program improvements.
* Manage case entries, client grievances, and ensure timely resolution in compliance with regulations.
* Monitor data entry into required databases, ensuring accuracy and timeliness.
* Develop and present reports and data visualizations to teams and leadership.
* Conduct quarterly audits of personnel and training files for compliance.
* Complete training to become an EHR super user, create and update EHR forms, generate reports, and manage user accounts.
* Provide training for new hires on EHR usage.
Basic Competencies
Required Education and Experience
* Bachelor’s degree in a human service-related field.
* At least 1 year of responsible experience in child and family services and/or behavioral health care.
* At least 1 year of experience in a direct Quality Improvement role.
Preferred Education and Experience
* Master’s degree and four years of experience in the field.
* Experience with licensure, grant management, and accreditation processes.
* Three years of progressive experience in related fields.
* Knowledge of regulatory requirements for residential care; Spanish language skills are a plus.
Additional Eligibility Qualifications
* Knowledge of policies related to Unaccompanied Children and legal frameworks.
* Understanding of medical compliance and data standards.
* Ability to self-manage, prioritize, and work effectively with stakeholders.
* Strong communication, leadership, and project management skills.
* Proficiency in Windows, Microsoft Office, Outlook, PowerPoint, and project management tools like Asana.
* Ability to obtain certifications (CPR/First Aid), pass background checks, TB tests, physicals, and drug screens.
