Role Overview
We are looking for a highly organised and proactive Product Operations & Supply Chain
Coordinator to support the day-to-day operational and product administration functions of the
business.
Based in Suffolk and working closely with the Senior Orders & Production Manager, this role plays
an important part in ensuring product information, operational systems, and supplier coordination
run smoothly. You will work in close communication with the London Head Office on a daily basis,
supporting teams across product development, inventory management, and supplier operations.
This role sits at the centre of product, operations, and supplier coordination, helping ensure
products move smoothly from development through to production and delivery.
This is a part-time role equivalent to three days per week. Hours can be structured as three full days
or spread across five shorter days if preferred. Wednesday and Friday afternoons must be
covered as part of the working schedule.
Key Responsibilities:
Product & Systems Management
* Maintain product information within Unleashed Inventory Software, ensuring records remain accurate and up to date.
* Add new products to the system, including uploading images, updating pricing, and removing discontinued items.
* Process sample orders within Unleashed.
* Run inventory and stock reports to support monthly inventory review meetings.
* Provide support and troubleshooting across Shopify and Unleashed where required.
Supplier & Product Development Support
* Support administrative coordination for new product development with suppliers.
* Coordinate fabric shipments between mills and manufacturers.
* Order fabric samples and wings as required.
* Chase samples from suppliers to ensure timely delivery.
* Track supplier critical paths and ensure approvals such as CFAs are received before goods ship.
Operations & Documentation
* Maintain and update key internal documents including PO management files and line detail documentation.
* Manage and update company price lists, ensuring changes are accurately reflected across internal systems.
Logistics & Supplier Communication
* Manage customs and shipping queries directly with suppliers and logistics partners.
* Liaise with suppliers to maintain clear communication around sampling, production, and shipments.
Skills & Experience
* Ideally experience using Unleashed Inventory Software or a similar inventory management system.
* Ideally familiar with the back end of Shopify.
* Strong working knowledge of Microsoft Excel, including managing inventory trackers, stock lists, and product data (e.g. sample inventory tracking).
* Experience in product, production, buying, supply chain, or e-commerce operations would be beneficial.
* Highly organised with strong attention to detail.
* A proactive self-starter who enjoys taking ownership of tasks and keeping processes running smoothly.
* Strong problem-solving skills and the ability to troubleshoot operational or system issues.
* Confident communicator who can coordinate effectively with suppliers and internal teams.
