Position Summary
The Auction Coordinator is a pivotal role within the Auctions, Returns & Stock Control team, responsible for managing the end-to-end delivery of CVP's auctions. Acting as the central link between Auctions, Returns, Stock Control, Web Order Processing, Warehouse, Sales, and Sales Support, the Auction Coordinator ensures that auction events run smoothly, deadlines are met, and compliance and control checks enforced.
This position blends operational execution with project coordination, ensuring all auction lots (CVP-owned and third-party) are prepared, marketed, and processed to the highest standards. The Auction Coordinator directly contributes to CVP's commercial success by protecting margins, reducing disputes, driving operational efficiency, and delivering a first-class customer experience.
Key Responsibilities
Auction Coordination
* Manage end-to-end auction processes, ensuring all deadlines and compliance checkpoints are met.
* Register and onboard sellers in the BidJS auction system and OrderWise, ensuring accurate data, descriptions, and images.
* Create and maintain auction lots/listings, adhering to CVP's Terms & Conditions and "sold as seen" policies.
* Monitor live auctions, resolve operational anomalies, and maintain smooth interdepartmental workflows.
* Enforce check points, ensuring no goods are shipped until full buyer payment is confirmed.
* Maintain the Auction Issues Log and lead post-auction reviews, identifying improvements for future events.
Returns & Stock Control
* Support the Returns Team with processing, quality control, and accurate stock updates.
* Segregate and prepare CVP-owned auction inventory, ensuring correct storage and photography standards.
* Book inbound third-party auction items into stock, escalating discrepancies immediately.
* Coordinate warehouse operations for auction collections and shipments, ensuring proof-of-collection protocols are followed.
Web Order Processing & Interdepartmental Liaison
* Ensure winning bid data flows correctly into the order system and orders are processed without delay.
* Liaise with Procurement, Warehouse, and Reception to coordinate timely customer collections and deliveries.
* Act as the escalation point for significant auction-related operational issues.
* Route customer enquiries to the correct department, ensuring consistent and accurate communication.
Compliance, Risk & Continuous Improvement
* Uphold and enforce CVP's auction Terms & Conditions.
* Ensure all compliance and check points are met before approving sales, releasing goods, or processing payments to sellers.
* Follow escalation paths for unpaid buyers, seller defaults, discrepancies, or major operational issues.
* Identify and mitigate risks across the auction lifecycle (e.g., payment, VAT, delivery, reputational).
* Drive process improvements to reduce costs, improve efficiency, and enhance the customer/seller experience.
Desired skills:
· Strong organisational skills with the ability to manage multiple deadlines.
· Excellent attention to detail, ensuring accuracy in listings, stock control, and compliance.
· Proven communication and stakeholder management skills; able to coordinate across multiple teams and influence priorities.
· Confident working with systems such as BidJS, OrderWise, and MS Office/Google Workspace.
· Ability to remain calm under pressure and make decisions in time-sensitive situations.
· Analytical mindset with the ability to interpret performance data and spot trends.
· Commercial awareness; understands how operational efficiency impacts margin, customer retention, and brand trust.
· Strong problem-solving skills with a proactive, solution-driven approach.
* Previous experience in auctions, logistics, stock control, or related operational roles preferred.
* Understanding of e-commerce workflows and interdepartmental processes.
* Experience working in a customer-focused environment with escalation responsibility.
* Familiarity with compliance checkpoints, VAT handling, and operational control gates an advantage.
Key Success Measures (KPIs)
* On-time delivery of auctions against project plan.
* Accuracy of listings (error rate in descriptions/photos/stock).
* Clearance rate and % of lots sold without dispute.
* Reduction in post-auction escalations or errors.
* Meeting or exceeding commercial targets (sales, average lot value, bidder numbers).

Salary/Remuneration
The salary for this position is £30,000 to £36,000 per annum ( Dependent on skills)
