Overview:
We are hiring an experienced and exceptionally organised Senior Client Experience Executive to become a central point of contact and administrative support for high value consignments with our clients and customers. This role sits at the heart of our commercial and customer service operational processes, ensuring high-value consignments are secured and processed smoothly, vendor relationships are managed with care, and internal teams are supported in every phase of the buying cycle.
This position will suit someone with a confident and professional approach to handling high net worth clients and suppliers, a natural talent for juggling multiple workstreams, and an eagerness to take ownership of end-to-end operational workflows. You'll be the go-to person for auction logistics, communications, and process follow-through—taking tasks off the hands of commercial and consignment leads and ensuring our sales engine runs seamlessly from pre-launch to post-sale.
Key Responsibilities:
Auction Operations
Coordinate all operational activities across the four sales phases: pre-sale, go live, sale close, and post-sale.
Manage supplier onboarding and administrative setup for new consignors, including contracts, payment terms, and documentation.
Maintain and update finance and supplier tracking documents, including VAT, tax, royalties, and invoicing.
Support the Commercial team by taking over administrative and logistics tasks—once a consignment is approved, you handle the process through to payment and delivery.
Prepare and issue invoices to buyers, chase payments, and manage consignor payouts following each sale.
Customer & Supplier Engagement
Act as the first point of contact for incoming calls and inquiries from clients, suppliers, and vendors.
Handle communications with high-net-worth individuals and commercial partners with professionalism and discretion.
Liaise internally between commercial, consignment, design, marketing, and finance teams to ensure cross-functional alignment and timely execution of private, B2B and auction deliverables.
Respond to buyer questions during sales, particularly around shipping, taxes, and VAT considerations.
Administrative Coordination
Take ownership of carnet management, shipment preparation, and logistics coordination for physical sales lots.
Ensure all key systems, trackers, and platforms are kept up to date and are shared with relevant stakeholders across departments.
Flag operational or financial blockers proactively and work with internal teams to resolve them.
At least 3 years of experience in operations co-ordination, customer service, or auction administration—ideally within a luxury, motorsport, or collectible-related industry.
Proven experience working with high-value clients and suppliers.
Excellent phone manner, written communication, and multitasking abilities.
Meticulous attention to detail with a structured, pro-active and process-oriented mindset.
Strong proficiency in tools like Excel and project trackers.
Able to manage competing priorities and tight timelines while remaining calm and professional.
