Medical Secretary (Band 3) – Admin Services | Clinical Support Services Division
Location and Contract
Site: Whiston Hospital, Town (Prescot). Salary: £25,760 – £27,476 per annum (pro rata if part time). Contract: Permanent, full time & part time positions available. Hours: 37.5 hours per week (also 30 hour and 21 hour positions). Job reference: 409-7514475. Closing date: 04/05/2026 23:59.
Working Hours
Monday to Friday between 8.00am and 5.00pm, with exact patterns discussed at interview.
Responsibilities
* Audio typing of clinical letters and documentation across surgical and medical specialties.
* Chasing external tertiary referrals and ensuring completion on PAS system; track appointments and ensure timely review.
* Covering telephone and handling enquiries as required.
* Quality checking documentation and auditing reports bi‑monthly against KPIs.
* Mentoring, training and supervising staff as required.
* Maintaining patient information accurately in PAS and other systems.
* Printing EIS reports for discharges.
* Taking minutes and circulating them to relevant groups.
* Managing sickness/absence and annual leave on ESR system.
* Organising stationary, ensuring mandatory training up to date.
* General office duties – mail, e‑mail, fax, copying, cleaning, etc.
* Participating in training, meetings & education sessions as requested.
* Working flexibly in accordance with Trust policy.
* Other duties as directed by Line Manager.
Person Specification
Qualifications
* GSCE Standard or Higher.
* RSA / OCR or equivalent typing experience.
Experience and Skills
* Word Processing Skills.
* Audio Typing Skills.
* Microsoft Office Products Experience.
* Teamwork.
* Medical Terminology.
* Minute Taking.
* 2 years’ experience in NHS.
* Previous Medical Secretary experience.
* Medical Audio Typing.
