Key Responsibilities:
Administrative Duties:
* Maintain accurate records of residents, including admission, discharge, and care documentation.
* Manage correspondence (email, letters, phone calls) and respond to enquiries professionally and promptly.
* Maintain staff rotas, timesheets, sickness and holiday records in coordination with the Home Manager.
* Assist with recruitment administration, including processing DBS checks, references, and onboarding paperwork.
* Support with payroll preparation by collecting and verifying staff hours and relevant documentation.
Financial Administration:
* Assist in managing resident accounts and petty cash.
* Raise invoices and process payments.
* Liaise with families and local authorities regarding funding, fees, and financial queries.
Compliance & Quality Assurance:
* Ensure all administrative systems comply with CQC regulations and GDPR requirements.
* Maintain up-to-date training, supervision, and personnel files for all staff.
* Prepare documentation for audits and inspections.
Communication & Reception:
* Act as the first point of contact for visitors and callers to the home.
* Maintain a welcoming, professional reception area.
* Support effective internal communication among care teams and departments.
General Support:
* Provide administrative support to the Home Manager and clinical team as needed.
* Order and manage stationery and office supplies.
* Support organisation of meetings, training sessions, and events.
Person Specification:
Essential:
* Previous experience in an administrative role, preferably in a care or healthcare setting.
* Strong organisational and time management skills.
* Proficient in Microsoft Office (Word, Excel, Outlook).
* Excellent communication and interpersonal skills.
* Ability to work independently and as part of a team.
* Understanding of confidentiality, data protection (GDPR), and safeguarding.
Desirable:
* Experience in a care home or nursing home environment.
* Knowledge of CQC regulations.
* Familiarity with payroll and basic financial tasks.
* Experience using care management software
