Administration Manager, London Arts and Cultural organisation
Temp role lasting 6 to 8 weeks, £17.40 per hour plus holiday pay. The role supports Programmes and Curatorial functions.
Responsibilities
* Support Programmes and Finance, Curatorial using Unit 4 (Agresso)
* Coordinate and communicate artistic programme schedules and processes
* Assist with project management for exhibitions, displays and commissions
* Support development of programme and schedules at proposal stage
* Help with budget management and ensure resources and skills are available to deliver programmes on time and to budget
* Support departmental Business Continuity Plan, Risk Register, Risk Assessments and act as a point of contact for Health and Safety
* Serve as a contact for department accounting processes
* Assist with the financial reporting cycle for the Curatorial department, including monthly reconciliations, quarterly reforecasts and year end, ensuring budgets are managed accurately
* Process invoices regularly in a timely fashion
* Monitor and report on income and expenditure, collate and provide management information to Senior Team and Finance, and maintain forecasting documents
* Liaise with Finance to understand policy changes and keep divisional colleagues updated for compliance
* Liaise with Development and Finance on allocation and management of fundraising income
* Participate in the budget overview process for each exhibition
* Administer, attend, record and share decisions from project budget and exhibition meetings
* Support the Head of Programme Management with planning and delivery of curatorial programme of exhibitions and displays
* Support Director in decision making on agreeing exhibition proposals
* Contribute to planning, monitoring and evaluation of exhibitions and displays schedules
* Liaise with colleagues to gather schedule information, highlight scheduling questions and organise ad hoc schedule planning meetings
Qualifications / Experience Needed
* Working knowledge of Unit 4 (Agresso)
* Ideally some experience of project management
* Good numeracy and business planning skills, including financial planning
* Effective verbal and written communication skills
* Excellent administrative and organisational skills, with ability to prioritise and multi-task to meet deadlines and work well under pressure
* Strong analytical skills and experience in writing, collating and sharing key information, ensuring delivery of key objectives
* Minute-taking skills
* Financial planning, working within budget and to deadlines
* Proactive and flexible communicator
* Interest in the Arts and Cultural world
