Elemental Energies are seeking a motivated and organised Proposals & Business Development Coordinator to support the growth of our business through effective bid management and client engagement activities. This role will co‑ordinate the preparation of high‑quality tender submissions and proposals, while also providing support across broader business development initiatives, client relationship management, and market intelligence gathering.
The ideal candidate will have strong organisational skills, excellent communication abilities, and a proactive approach to problem‑solving. This is a varied role requiring creative thinking, an eye for detail, and the ability to manage multiple priorities in a fast‑paced environment.
Key Duties & Accountabilities
* Coordinate the end‑to‑end co‑ordination of expressions of interest (EOIs), pre‑qualification questionnaires (PQQs), requests for information (RFIs), and full tender responses.
* Work with technical and commercial teams to gather input and ensure responses are clear, accurate, and aligned with client requirements.
* Maintain and update libraries of case studies, and standard content for efficient re‑use.
* Ensure all proposals, tenders, and business development opportunities are accurately recorded, maintained, and up to date in the CRM system.
* Assist in monitoring opportunities via tender portals and industry networks, ensuring deadlines are tracked and submissions are completed on time.
* Conduct quality assurance checks on all submissions, ensuring alignment with client instructions and company standards.
* Assist with post‑submission activities including clarifications, presentations, and lessons learned reviews.
* Work collaboratively with business development, engineering, finance, and project teams to deliver winning bids.
Business Development Support
* Support BD team members with client research, account mapping, and tracking of opportunities in the CRM system.
* Support data gathering and reporting on BD activities, market trends, and competitor intelligence.
* Ensure all proposals and BD documentation is well‑organised, accessible, and kept up to date, supporting effective team collaboration and audit‑readiness.
Person Specification
Knowledge & Qualifications
* Degree (or equivalent experience) in Business, or a related discipline.
* Strong understanding of proposal development and tendering processes.
* Knowledge of business development principles, client relationship management, and opportunity tracking.
* Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel), Adobe Acrobat, and collaboration tools (SharePoint, Teams).
* Experience within the energy sector. (desirable)
* Familiarity with CRM systems and document management platforms. (desirable)
* Awareness of commercial practices in the energy sector, including contracts and procurement. (desirable)
* Knowledge of the energy, engineering, or decommissioning sectors. (desirable)
Skills
* Strong organisational skills, with the ability to manage multiple deadlines and priorities.
* Excellent written and verbal communication skills, with attention to detail.
* Ability to co‑ordinate and gather input from multi‑disciplinary teams.
* Proficiency in formatting, editing, and producing client‑ready documents and presentations.
* Collaborative approach, with confidence engaging colleagues at all levels.
Experience
* Experience in a proposals or tendering role, ideally within the energy, engineering, or decommissioning sectors.
* Experience supporting tender submissions or managing elements of the bid lifecycle.
