Job Role: Project Coordinator
This role is essential to the team, requiring multitasking and prioritization skills. Based in our Mallusk office, the Project Coordinator will support HVAC Capital Works projects in Northern Ireland.
Key Responsibilities
* Coordinate site construction projects to ensure timely and effective execution.
* Manage scheduling for engineers to ensure proper coverage.
* Handle incoming calls and record/manage communications efficiently.
* Support clients via telephone and email.
* Log and assign response maintenance calls promptly.
* Process operatives' paperwork and close calls for payment submission.
* Respond within set timeframes and meet service levels and contract terms.
* Support in cross-training team members for contract coverage.
* Perform routine administrative tasks.
* Communicate with stakeholders and clients effectively.
* Escalate issues early to line managers or clients.
* Assist with applications and certificates from authorities/clients.
* Adhere to policies, procedures, and safety standards.
* Schedule daily runs for multiple operatives and organize materials, dealing with suppliers and subcontractors.
* Calculate engineer performance and bonuses.
Person Specification
* Minimum 1 year of office experience.
* At least 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office.
* Proactive, independent worker with limited supervision.
* Strong customer focus and professionalism.
* Excellent organizational and communication skills.
* Ability to multitask and work as part of a team.
* Flexible, positive attitude, trustworthy, and approachable.
