Role Overview
As the first point of contact for visitors, customers, and employees, you’ll be creating a positive and professional impression of our business. In this office-based role, you’ll be responsible for ensuring the smooth running of our front desk, coordinating key administrative functions, and maintaining a high standard of service throughout the office.
In addition to traditional receptionist duties, you'll manage meeting rooms, handle travel arrangements, and support various departments with administrative tasks. This role offers a great opportunity to contribute to different areas of the business, focusing on communication, organisation, and efficiency. Reporting Line
Reporting to: Support Manager
Key Responsibilities
1. Manage incoming calls professionally and direct them to the appropriate departments.
2. Greet visitors and customers, ensuring security protocols are followed. Collaborate with Security Controller to manage classified documents and maintain the classified registry (training provided).
3. Serve as the point of contact for contractors requiring site access.
4. Oversee the setup, maintenance, and clearing of meeting rooms. Coordinate lunch orders and deliveries.
5. Assist employees with administrative tasks and manage daily mail distribution.
6. Handle enquiries promptly and professionally.
7. Maintain stock levels of stationery and consumables, and manage office orders.
8. Support the Finance Team by raising purchase orders and invoices, and inputting data into financial reports.
9. Arrange national and international travel and accommodation.
10. Manage bookings for the company pool car and oversee fuel card administration.
11. Assist with procurement processes as needed.
