Job Overview
The Scheduling Access Specialist is responsible for managing patient access, maintaining provider schedules, and ensuring efficient front office operations. This role involves coordinating appointments, providing excellent customer service, and supporting the clinic's scheduling protocols.
Key Responsibilities
1. Serve as the primary contact for patient access for patients and departments.
2. Maintain provider schedules to meet productivity and patient access goals.
3. Participate in monthly team meetings with physicians and nurses to optimize scheduling and patient access.
4. Manage schedules during transitions to new care models.
5. Monitor physician panels and contact patients overdue for appointments.
6. Follow up with patients seen in Emergency or Urgent Care for future appointments.
7. Schedule patient appointments and consult requests via electronic medical records, adhering to protocols.
8. Answer calls promptly and professionally, directing calls and taking messages accurately.
9. Gather accurate patient information, including demographics and insurance details.
10. Reschedule appointments and manage cancellations and no-shows.
11. Edit clinicians' schedules for time off, meetings, and other absences, and reschedule patients accordingly.
12. Ensure smooth daily patient flow and front office operations.
13. Mail out new patient packages when applicable.
14. Confirm appointments within 24 hours.
15. Assist existing and new patients with appointment scheduling.
16. Perform receptionist and EMR tasks as needed.
17. Communicate unresolved issues to management timely.
18. Use scheduling reports to follow up on unscheduled future visits.
19. Maintain confidentiality per HIPAA regulations.
20. Float to other MACC practices when required.
21. Perform other duties as assigned.
Qualifications
* High school diploma or equivalent.
* At least 1 year of experience in medical scheduling preferred.
* Proficiency with medical office technology and electronic health records preferred.
* Excellent customer service and communication skills.
* Knowledge of medical terminology preferred.
* Typing skills at 30 WPM preferred.
Position Details
Purpose: To provide efficient patient scheduling and outstanding customer service.
Schedule: Per diem, rotating days, no weekends or holidays.
