Job Title Sales and Shipping Administrator Number of posts 1 Job Ref K2304 Location of Job Kirkby Rate of pay Minimum wage Contracted Hours per week 23.25 • Working Days: 3 • Shift Pattern: 8:30- 5pm Key responsibilities : Responsible for Sales Administration within the office and managing stock received in and shipping supplies out to customers and site Sales Administration • Processing orders • Managing the sales inbox • Issuing unit prices to Wholesalers • Creating Wholesaler quotes • Filing paperwork according to each process • Creating CPD certificates • Managing remittance advice slips and cheques • Organising post to the Head Office in Ireland Goods in •On receipt of notification of shipment dispatched from Ireland and suppliers ensure forklift is charged •Unload pallet from couriers/lorry •Check off stock against delivery docket/packing list •Check in stock onto system •Store in allocated area •Produce POD’s Goods Out/Shipment •On receipt of notification to send out shipments from Orders/Shipment Administrator •Print off stock report •Check stock •Print off dispatch list •Prepare stock for delivery •Wrapping •Place on pallets •Print off and place on labels Stock Checks •Carry out weekly stock checks •Ensure stock list is kept up to date •Reconcile any issues Returns Manage stock returns from stock received, customers, local and Ireland and to suppliers •Organise returns received from customers •Receive and check in for returns •Process paperwork as to why it is returned •Advise of any handling charge •Issue a returns number to the customer •Request credit note from Accounts to be sent •Ensure returns spreadsheet is accurately filled out •Organise with a courier for goods to be returned/ collected •Label and send to Ireland or supplier for testing and review •Complete returns process on Efacs •Organise damaged goods received from Ireland and suppliers •Complete returns documentation •Process paperwork for return •Label and prepare damaged item to send with courier •Complete returns spreadsheet Building Maintenance •Carry out general maintenance in the warehouse, office building and surrounding areas •Weekly check alarms and safety equipment Secondary responsibilities •Be pro-active and work with other areas •Provide cover for other areas when required •Ensure your product knowledge is current •Promote and present Ventilux and Ventilux products through Social Media Channels, Web and all other communications Skills required •To be pro-active in resolving issues as they arise •To ensure accurate stock levels are maintained •Organised with good time management •People orientated •Systems orientated •Taking responsibility for the role and being pro-active in resolving issues as they arise •Target focused •Goal Orientated •Excellent problem solving
