Job Title: Assistant Facilities Manager - Project Support
Join Galliford Try as an Assistant Facilities Manager - Project Support within our Facilities Management Business at Birmingham.
Key Responsibilities:
1. Handle inquiries from clients, customers, and staff via phone, email, or face-to-face at the project site.
2. Monitor and close PPM tasks allocated to sub-contractors and staff through the CAFM system.
3. Obtain quotations, raise and close tasks related to lifecycle, variations, and chargeable works in CAFM.
4. File project and company documents on SharePoint or CAFM systems.
5. Ensure statutory compliance and manage the Planned Preventative Maintenance module in CAFM.
6. Report and follow up on events and tasks through the Help Desk system.
7. Communicate with school staff and client representatives, participate in meetings, and contribute to monthly reports.
8. Assist in out-of-hours standby and emergency call-outs.
9. Perform health and safety checks, site inspections, and ensure compliance with safety standards.
10. Participate in audits and cover for the Facilities Manager during absences.
Candidate Requirements:
* Experience in Facilities Management, preferably with PFI knowledge.
* Proven ability to manage PPM and reactive tasks.
* Leadership experience and team management skills.
* IOSH Managing Safely (or willing to obtain) and preferably NEBOSH GC qualifications.
* Proficiency in Excel, managing trackers, and dealing with subcontractors.
* Strong organizational, project management, and communication skills.
* Ability to work remotely and travel between sites as needed.
* Flexibility to handle out-of-hours emergencies and possess good initiative.
