Description Guinness Property is looking for an experienced and proactive Fleet Administrator to join our team in Oldham to provide a high-quality, comprehensive fleet support service. Reporting to the Fleet Manager the successful applicant will develop, maintain and monitor the Fleet database for the efficient storage and retrieval of data and generating reports on a full-time basis, 39-hours a week, Monday - Friday. We operate a hybrid working model which requires employees to work in the office for three days per week with the remaining 2 being from home. Key Responsibilities: Regulatory conduct: You will monitor the performance of Guinness drivers and escalate to line management where there are regulatory breaches through the vehicle tracking system. Fuel Cards Ordering, control and monitoring of fuel cards via portal and in house processes Claims handling: You will coordinate insurance claims as and when appropriate. Procurement: You will raise purchase orders for fleet expenditure ensuring the correct cost centres are applied and charges are within budget. Auditing: Accurately audit vehicle damage and safety issues. DVLA compliance: Carry out DVLA checks on all fleet drivers. Stakeholder engagement: You will liaise with drivers & managers to ensure optimum vehicle availability including hire and off hire of vans. Role Criteria: Essential: Experience of producing purchase orders and budget monitoring. Experience of working with IT systems to produce reports, analysis and statistics. Proven experience of handling and processing confidential and sensitive information and knowledge of Data Protection Regulations. Proven ability to work methodically, follow agreed procedures and accurately record data and information. Desirable: Understanding context of social housing. Knowledge of the Road Traffic Act, 1991. Experience of working in fleet administration and multiple agencies/clients. Experience of coordinating insurance claims. Experience of using the DVLA database.
