At Gloucestershire Health and Care NHS Foundation Trust (GHC), we provide joined‑up mental health, physical health and learning disability services to people of all ages across Gloucestershire. We run community hospitals and provide care and support in people’s own homes and in a range of other locations across the county.
Job overview
* Provide reception and switchboard service to all visitors, staff and callers, maintaining an efficient, professional and friendly service.
* Develop knowledge of the range of Child and Adolescent Service (CAMHS) to locate colleagues and direct calls with minimum delay.
* Support the manager and the administrative team with general administrative functions as required.
* Project the professional image of the business through excellent customer care.
* Meet young people, relatives, and visitors in a friendly manner, assisting with enquiries and escorting or directing them to their destination.
* Deal competently and discreetly with queries face‑to‑face or by telephone using appropriate protocols.
* Accurately take messages and distribute them promptly.
* Handle all incoming and outgoing correspondence (paper and electronic), date‑stamping and ensuring incoming post is distributed.
* Operate photocopier and other office equipment competently; maintain adequate supplies of forms and paperwork.
* Process new files and maintain clients’ notes and records using the current Patient Administrative Systems; maintain building and staff information in support of the Site Responsible Officer.
* Manage the electronic room booking system for the unit.
* Keep the reception and waiting areas tidy and ensure notice boards are up‑to‑date.
* Provide cover for administrative staff in their absence or as required by the administration manager.
* Ensure statutory and mandatory training compliance is maintained.
* Act in ways that support the Trust’s values and ethos, treating everyone with dignity and respect.
* Work constructively and flexibly with colleagues.
* Immediately inform the Administrative Manager of any issues affecting service delivery.
* Communicate and work with those concerned with the care of service users while maintaining confidentiality and complying with guidance and legislation.
Qualifications
* GCSE level grade C education or equivalent.
* Good literacy and numeracy skills.
* NVQ Level 2 in administration or equivalent.
Experience
* Proven experience directly contacting patients, clients or customers by telephone and in person.
* Diary management experience.

The postholder will have access to vulnerable people in the course of their normal duties and is therefore subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020.
