Providing a first point of contact to customers and visitors to the company on reception on a Monday and Tuesday, maintaining an excellent rapport with staff and the public. The role involves the overall running of the reception area, switchboard, dealing with the company mail and admin. Wednesday to Friday you will also provide administrative support to the Office Manager, Commercial Team and Finance team.
Key Responsibilities:
* To greet visitors to the company ensuring they sign in/out of the building.
* To answer all telephone calls coming through the switchboard and transfer calls to the appropriate member of staff or department.
* To respond to general enquiries and refer them to the appropriate member of staff or department.
* Assist the Office Manager with general admin and office duties as required.
* Assist the Commercial Manager with simple procurement tasks and admin support as required.
* Assist Finance team in periods of peak deadlines, Month end and year end.
* Organise meeting room calendars and provide refreshments as required.
* Deal with company post ensuring incoming mail is recorded, date stamped and distributed.
* Prepare, frank and record outgoing mail in time for the daily postal collection.
* Order stationery and office supplies.
* Filing, photocopying and printing of documents as directed.
* Type professional documents, including letters, reports and memorandums.
* Replenish photocopier paper and toners as required.
Skills & Experience we are looking for:
* Excellent telephone and customer services skills.
* Be a good ambassador of the company – well presented with a consistent, friendly yet professional approach to your role.
* The ability to work with minimal supervision.
* Be proficient in the use of Word, Excel and other Microsoft packages.
* Be able to use their own initiative and have a flexible approach to what is expected of them.
* Must be a team player.
* Excellent attention to detail, ensuring work is self-checked for its accuracy.
