Tams Brig Surgery, Ayr is seeking an experienced, organised, and compassionate Medical Administrator to join our administrative team.
The successful candidate will provide comprehensive secretarial support to our clinical team while serving as a vital link between patients, healthcare professionals, and external organisations. We use EMIS PCS, EMIS WEB and DOCMAN.
The post will be for 37 hours per week, Monday to Friday with the successful candidate being available to work four days between the hours of 7.45am and 5.30pm throughout the week.
Duties include but are not limited to;
1. Managing the practice's clinical correspondence system, including typing letters, referrals, and reports dictated by healthcare professionals
2. Processing NHS and private referrals to secondary care and specialist services
3. Maintaining medical records and ensuring they are up-to-date and accurate
4. Processing iGPR
5. Coordinating appointments
6. Answering telephone queries from patients, healthcare professionals, and other external organisations
7. Supporting the clinical team with administrative tasks and projects
8. Assisting with audit and quality improvement initiatives
9. Managing the clinicians' diaries and helping organise practice meetings
10. Ensuring patient confidentiality and data protection compliance at all times
11. Required to communicate effectively and possess an aptitude for dealing with potentially difficult or demanding situations
12. Covering other administrative roles as required
Essential Requirements
13. Previous experience as a Secretary / Administrator in a healthcare administrative role
14. Excellent typing skills with high accuracy and attention to detail
15. Strong knowledge of medical terminology
16. Proficiency in MS Office and electronic patient record systems (experience with EMIS PCS preferred)
17. Outstanding communication skills, both written and verbal
18. Ability to prioritise workload and work under pressure
19. Excellent organisational and time management skills
20. Understanding of patient confidentiality and data protection regulations
21. Professional telephone manner and excellent customer service skills
Desirable Attributes
22. Knowledge of NHS referral pathways and systems
23. Experience of audio typing and medical dictation software
24. Understanding of NHS quality standards
25. Previous experience in primary care setting
26. Medical terminology qualification
