Senior Operations Coordinator (Tourism and Campervan rentals)

About Us

We run Share Bus – ‘shared rental’ road trips for backpackers – and Home on the Road, a campervan rental brand. Our travellers want freedom, adventure and social connection, in a way that is both affordable and easy to do.

For Share Bus we put together groups of backpackers and rent them vehicles, trailers, camping gear. We also provide support through a recommended itinerary with campsite and activity recommendations, a guidebook and responsive customer service. They make their own choices and create their memories.

Home on the Road rents out both affordable and reliable basic campervans, with clever conversions and everything needed for a self‑guided road trip.

We're looking for an Operations Coordinator to keep everything running smoothly behind the scenes.


About the Role

You’ll sit at the heart of operations for both brands.

Australian work rights are required for this position.

You’ll make sure:

* Trips are ready to go
* Vehicles are in the right place
* Booking, vehicle management and CRM systems are up to date
* Coordinators and workshop staff know what’s happening
* Issues are dealt with quickly and calmly
* Customers receive clear, accurate information

You will work closely with the founder (Chief Operations & Strategy Officer), Workshop/Fleet Officer, Customer Service & Sales Officer, and our VA.


Key Responsibilities

* Coordinate all Share Bus trips: vehicles, gear, coordinators, documentation.
* Work with the Workshop/Fleet Officer to schedule services, repairs and inspections in relation to bookings/schedule and compliance dates.
* Maintain and optimise booking and lead management systems (Rental Car Manager + Zoho CRM).
* Act as the point of contact for casual city coordinators turning around vehicles in other locations and support them to follow checklists and procedures.
* Plan vehicle movements and relocations across cities.
* Review trip feedback and fleet status for recurring issues or improvements.
* Maintain documentation and scheduled information sent to customers, including email templates, pre‑trip messages and info packs, ensuring they’re accurate and up to date.
* Lead operational response for incidents (breakdowns, trip issues) and log what happened.
* Coordinate new campervan conversions, trailer builds and compliance requirements with third‑party providers.
* Other operational projects as directed and assisting other staff as required.


About You

You might have worked in operations, fleet, travel, tourism, or another coordination role. You’re great at coordinating and organising – and enjoy working with systems and planning automations. Ideally you are interested in the outdoors and youth travel.

You are:

* Organised and reliable
* Interested in systems and details
* Innovative and analytical – able to suggest improvements based on opportunities and past data
* Calm when things go wrong
* Happy to own a problem and see it through
* Confident communicating with different people (mechanics, staff, travellers, agents)
* Motivated by making things run smoothly


Skills & Experience

* A minimum of 1–2 years experience in operations, travel/tourism, fleet management, or a similar field.
* Comfortable using software (booking systems, CRMs, spreadsheets, Google Drive).
* Enjoy seeing the big picture and building systems that work.
* Good communication and problem‑solving skills.
* Ability to juggle multiple tasks and timelines.
* Valid driver's licence (towing/trailer experience is a bonus but not essential).

Bonus:

* Experience with the tourism industry, campervans, tours, or vehicle rentals.
* Worked with Zoho CRM – including building workflows.
* Experience making basic website edits with WordPress.
