Primary Responsibility
To provide comprehensive, effective and efficient administrative support to ensure smooth operation and maintenance of records for the Transport Group in accordance with DVSA and DVLA requirements.
List areas of daily and long-term responsibilities
• Maintain vehicle parts stock
• Maintain log of faulty vehicles
• Monitor and report on fuel usage
• Maintain service history records and report any pending MOT requirements
• Maintain current O License / Ministry records
• Issue correct Personal Protective Equipment and uniform for Driver/Driver Helper
• Correspond with relevant parties to report defects/accidents with fleet
• Ensure that accidents are investigated and corrective actions taken to prevent recurrence.
• Periodically check Driver licenses
• Maintain insurance cover record for Drivers
• Investigate and challenge Penalty Charge Notices
• Complete all correspondence and documentation ensuring compliance with statutory obligations in accordance with DVSA and DVLA
• Manage administration of all mail, filing and general office duties for the Transport Group
• Ensure telephone and email queries are dealt with to a high professional standard ensuring information is accurate and timely.
• Act as a central point of reference for internal and external queries, ensuring that messages are recorded and reported in a timely manner, including contact with staff and managers
• Be aware of relevant laws and regulations and ensure compliance
• Ensure compliance in accordance with CMI and ISO standards.
• Ensure compliance with policies and procedures for Health & Safety
• Adhere to all company policies, procedures and business requirements
• Maintain confidentiality in accordance with the General Data Protection Regulation (GDPR)
Education
4 GSCEs A-C including English and Mathematics or an equivalent qualification
Bachelor degree in a business related subject is preferable however not mandatory
Physical Requirements
Lifting: The job may involve lifting of papers box (13 kg), computers (6 kg), archive folders, and archive boxes (16 kg), personal stuff boxes
Physical requirements: pushing, pulling the trolley to carry the above items occasionally.
Equipment: sack barrow (trolley) Using of step ladder to access folders in shelves.
