Job summary

We are looking for an enthusiastic, friendly and helpful person who thrives in a busy, ever-changing environment to join our Administration Team in Gastroenterology. This role is for 30 hours per week which could be offered over 4 or 5 days.

You'll provide comprehensive secretarial support to the current admin team, consultants, associate specialists, and other allied health professionals. We are looking for someone who can use their own initiative, work well with other people, be able to work on their own as well as being able to approach others for support. The right candidate will have excellent IT and typing skills.

Main duties, tasks & skills required

Communicate with patients, colleagues, internal and external


Deal with day to day correspondence,


Prioritise own work efficiently and effectively, highlighting any issues to the Band 4


Type all forms of clinical correspondence as dictated by medical staff, by use of audio or copy typing.

To monitor and be proactive in dealing with generic emails.

Take minutes at meetings as required.

To communicate by email, telephone or face to face with Consultants, other healthcare professionals, management and patients. Taking appropriate action when necessary

Spreadsheet work to include updating and tracking information.

To provide cross cover in times of absence.

General administration duties.

Qualifications


Essential

Minimum of 5 GCSEs including English Language and Maths or functional skills.
Level 3 qualifications or equivalent level of experience.


Desirable

RSA/OCR III or equivalent typing/word processing including audio typing.


Experience


Essential

Audio typing/word processing.

Minimum 1 year office experience within last 5 years.

Evidence of prioritising workloads/good time management.

Proven experience of working well as part of a team.


Desirable

Previous secretarial experience.

Experience of working in a healthcare setting/previous experience of NHS administration processes.

Experience of dealing with patients/customers.

Supervisory/HR experience.


Additional Criteria


Essential

IT literate, including recent experience of using Microsoft packages such as Word, Outlook and Excel.
Working knowledge of secretarial/administrative procedures and systems.
Problem solving.


Desirable

Knowledge of medical terminology.
