Overview
Job summary: We are a single partner led small friendly GP practice in Rossington with 4,550 patients. Your role will be to run the practice in all administrative aspects of the surgery. An informal meeting and site visit would be advised.
Main duties: To ensure the smooth running of the practice; reporting to the lead GP on a regular basis regarding all aspects of the surgery, HR, finances, contracts, etc.
About us: We have 15 staff and a friendly atmosphere. The team includes 3 GPs, 2 Practice Nurses, 1 Health Care Assistant, 6 part‑time receptionists, a secretary and the practice manager. All staff members have a good work ethic and are highly trained.

Job Responsibilities
Job title: Practice Manager
Based at: West End Clinic, Rossington
Job Summary: To manage and coordinate all aspects of the practice’s day‑to‑day business, motivate and manage staff, optimise efficiency and financial performance, and ensure the practice achieves its long‑term strategies.
Accountability: Accountable to the Partner.
Key duties and responsibilities:
* Practice development, contract management and legal requirements: Support partners with strategic planning, project planning and financial reports. Identify efficiencies and new business opportunities. Ensure contracts and service agreements are prepared and signed; monitor implementation. Manage requirements of the Care Quality Commission, including accurate recording on the CQC register and Statement of Purpose; ensure compliance. Act as Complaints Manager for all complaints and investigations.
* Human Resources: Ensure staffing within budget with appropriate skills; maintain HR/training policies; develop communications, recruitment, induction, and staff contracts; manage performance; oversee holidays and sickness; organise staff meetings, away‑days and social functions; run appraisal scheme; ensure staff development and training; manage grievances, attendance records and pay; ensure statutory requirements are fulfilled and confidentiality upheld; develop annual training plans with staff.
* Financial resources: Manage practice finances with the partner and accountant; budgetary control, cost efficiency, profitability; control expenditure; explore income opportunities; provide budget and cash flow forecasts; protect against fraud; manage payroll, invoices, expenses and petty cash; liaise with the accountant for annual estimates and tax returns.
* Information Technology: Manage information within the practice and with external agencies; ensure the clinical computer system functions well; run audits/reports; train users; maintain hardware; oversee IT security and data protection compliance; explore funding options; develop online services and website as appropriate; ensure IG toolkit compliance annually.
* Partnership issues: Support partners with team working and legal framework; run effective meetings with agendas, minutes and action plans; advise on resource use; recruitment support; ensure up‑to‑date medical indemnity; manage clinical rotas and holidays.
* Operational systems: Ensure efficient appointment systems, messaging, results, prescribing, access, mail, scanning and other processes; maintain QOF/Enhanced Services; optimise operations.
* Premises, equipment and stock: Optimize use of premises and assets; manage purchases and stock; liaise with NHS Property Services on rents; maintain premises and security; ensure health and safety, fire procedures and risk assessments; ensure CQC compliance.
* Patient Services: Develop patient services to meet population needs; manage Patient Participation Group (currently none); implement health promotion campaigns and family/child‑friendly policies; conduct patient satisfaction surveys; handle complaints and significant event learning; keep patient information up to date (leaflets/website).
* Personal development: Manage own time and targets; ongoing personal development through reflection and feedback; identify training needs.
* Other duties: Perform other duties as appropriate to the role of a general practice manager.
Person Specification
Experience
* Essential: Experience working in general practice would be beneficial.
* Desirable: Experience of working in primary care and GP practice.
Qualifications
* Essential: Qualifications in practice management would be an advantage.
Knowledge
* Essential: Knowledge of GP practice; good communication with staff and other services in general practice.
* Desirable: Good IT skills and ability to learn quickly.
