Job Overview

This is an exciting opportunity to play a crucial role in the operations of the Central South Active Partnership (CSAP). You'll join a small but ambitious team and work closely with the Managing Director.

The Business Support Officer will provide high quality administrative support and coordinate internal systems and processes relating to data management, finance and resources, corporate governance and project support.

Responsibilities

Administrative Support

* Coordinate the administration of the board, sub-committees and working groups, including organising meetings, managing calendars, booking venues and equipment, preparing meeting materials, and working independently to ensure smooth operations.
* Provide high-quality administrative support to the Managing Director, including managing correspondence, coordinating meetings, preparing agendas, taking minutes, making travel arrangements and coordinating day-to-day operations.

Data Management

* Manage internal systems and records, including data portals and digital platforms, in line with organisational policies and data protection requirements, ensuring information is accurate, up to date, and accessible.
* Produce accurate reports and summaries from available data to support decision making.
* Coordinate responses to GDPR queries and subject data access requests.
* Support the implementation and management of effective business systems and processes.

Corporate Governance

* Support compliance with relevant governance frameworks and regulatory frameworks.
* Support risk management and business continuity planning.
* Support audits, reviews and quality assurance activities.
* Coordinate monitoring and reporting against the Governance Improvement Plan.
* Maintain policy framework including policy review cycles.

Project Support

* Provide project support for the wider activities of the partnership including project support.
* Assist with organising events, conferences and other networking activities.

Finance & Resources

* Coordinate accounts receivable and payables, raise purchase orders, process invoices, and liaise with third-party finance related service providers to assist with preparation of management accounts and audited accounts.
* Coordinate monthly payroll, expenses, and pensions processes and liaise with third-party people and finance related service providers.
* Coordinate day to day HR functions including recruitment and onboarding and liaise with third-party people related service providers.
* Support overall management and controls relating to investment partners and grant funding, offer letters and transactional duties in relation to grant/investment claims.

Essential Criteria

* Excellent oral and written communication skills.
* Highly organised with strong attention to detail.
* Ability to prioritise tasks, adapt and manage time effectively.
* Ability to present information clearly to internal and external stakeholders.
* Proficient in IT systems.
* Experience of working in a relevant business workplace setting.
* Experience of providing administrative support to executives and/or boards.
* Experience of working with finance systems and processes.
* Experience of supporting corporate governance and compliance activities.
* Experience of providing project support.
* Values that are aligned with those of the organisation.

Desired Criteria

* Project management qualification.
* Competency in the Welsh language or a commitment to developing Welsh skills.
* Experience in collecting data and conducting analysis.
* Experience of using and managing digital platforms (e.g. website, social media).
* Experience of adopting a collaborative approach to work.
* An understanding of sport and physical activity context in Wales.
* Evidence of continuous professional development.
