About this Opportunity
We are looking for a proactive and organised Business Administrator to support administration requirements for the business. Reporting to the Business Development & Commercial Manager, you will providing administration support to BD & Commercial, Engineering & Finance functions as well as providing ad hoc support to the General Manager.

Key Responsibilities
* Support management of tender process including preparation of tender documents
* Preparation of presentations and assistance with reports as required
* Assist with the development of new, or improvement of existing, sales and marketing material, in-line with the Cyan Renewables branding guidelines.
* Review and, as necessary, contribute to the development of technical track records, case studies, to incorporate relevant information into marketing material and tenders.
* Assist with document transmittals and ensure project deliverables are submitted in-line with the project schedule
* Preparation of monthly Business Review reports
* Complete any other business-critical duties as requested and agreed
* Set up new Integrated Solutions and Engineering projects in IFS in accordance with customer accepted quotes/tender summary sheets
* Review completed and ongoing job costings against budgeted costs and analyse/report results.
* Production of weekly report from Moorepay Payroll system time writing entries to assist Engineering Manager checking/approving all entries
* Production of project time-writing reports to assist in the creation of Variation Orders.
* Generate and issue timesheets for internal and external approval for all ongoing reimbursable projects.
* Generate and issue pro-forma invoices for internal and external approval for all ongoing reimbursable projects.
* Assist with department and project procurement activities by raising requisitions via IFS.
* Provide support for project logistics, including personnel travel, accommodation, visa, immunisations, medicals and training certifications
* Provide support during holiday cover with Timesheet administration & upload of bank payments
* Reception support (answering phones, meeting visitors/clients etc)
* Point of contact for office equipment such as printers, IT etc
* Provide support with the organisation of company events
* Monitoring stationary supply levels & office sundries and restocking as required
Qualifications and Experience
* Educated to HNC/HND level or equivalent
* Proven experience working in an administrative role
* Industry experience preferred
* Proficiency with Microsoft Office Applications
* Demonstrable analytical capabilities
* Strong organisational and time management skills
* Excellent attention to detail and accuracy
* Excellent communication skills with the ability to build strong relationships
