The primary function is to provide an efficient, effective and high quality administrative and secretarial service. The role requires a proactive approach and commitment to continuously improving the service provided. It encompasses meeting administration, minute taking, diary and email management, and using initiative to resolve day to day issues. Skills in Microsoft applications are essential.
Main Duties and Responsibilities
Provide comprehensive secretarial and administrative support as directed:
1. To work collaboratively with other Personal Assistants to promote management of priorities, workflow and diaries
2. Provide a totally confidential support role, dealing with personal and sensitive correspondence on a regular basis
3. Deal with all mail, emails, telephone calls, personal callers and routine enquiries in an appropriate manner, drafting replies on behalf of Board/team members as required, and keeping them informed of developments within appropriate timescales
4. Plan and co-ordinate diaries, referring to the Executive Assistant where necessary
5. Monitor and pursue the progress of issues as delegated, taking a proactive approach to following up actions as required
6. Establish and maintain filing systems, ensuring a consistent approach within the team
7. Ensure effective forward planning systems are in place, anticipating situations and taking the initiative in resolving potential and actual problems
8. Ensure that effective work programmes are prepared and continually revised as required in line with the Trust’s Meeting Effectiveness Policy, arranging meetings, preparing agendas, taking minutes, managing follow-up actions and supporting escalation reporting
9. Assist in ensuring office functions are effective and standardised, including master contacts information and templates in one single, accessible location
10. Ensure all Board members/Deputies receive an appropriate level of support at all times, providing cover for other Personal Assistants in times of sickness, annual leave and as part of the Trust’s flexible working policies.
11. Participate in the rota to ensure appropriate office cover between the hours of 08.30 and 17:00
