Job overview

An exciting opportunity has arisen to join the Outpatient Appointment Centre as a Booking Coordinator. You will work as part of an enthusiastic team in a busy office environment helping to deliver and maintain a professional administration/clerical service for patients, relatives, colleagues and Trust staff.

We are looking for five full‑time Booking Coordinators, a secondment opportunity and one 32‑hour per week Booking Coordinator. The hours for this role are typically Monday – Friday 8am‑4pm.


Main duties of the job

To deliver and maintain a professional administration service to the Outpatients’ department and to all users, including patients, relatives and colleagues.

As per Home Office guidelines, the Trust is unable to offer sponsorship for this particular position. Internal applicants on permanent contracts can apply for this post as a secondment, provided they have line‑manager approval. If you are currently on a fixed‑term contract, you may apply for the fixed‑term version. Full‑time permanent vacancies cannot be filled by individuals on a Student visa unless they have (i) applied for a Graduate visa, (ii) completed their course and applied for a Graduate visa before the anticipated start date, or (iii) the Trust will sponsor them as a Skilled Worker and they complete their studies within three months of employment. Person specification


Qualifications

* Educated to GCSE level or equivalent
* NVQ level 2 Customer Service / Business Admin / ITQ or equivalent experience
* Typing qualification or equivalent
* Medical Secretary qualification or equivalent


Experience

* Experience of working in a busy clerical/office environment or reception role
* Prioritising, planning and organising own tasks
* Ability to understand various NHS guidelines, work within them and recognise breaches
* Experience of customer service or dealing with the public
* Experience of dealing with difficult situations and confrontations
* Experience of IT packages – Microsoft Office
* Previous experience of working in the NHS
* Previous experience of working with medical records
* Experience of call handling


Knowledge

* Understanding of confidentiality and data protection
* Understanding and experience of good customer service to patients (customers), visitors, and both internal and external colleagues
* Knowledge of bespoke and general IT systems and use of multiple software packages
* Knowledge of the Trust including awareness of priorities
* Knowledge of Trust information systems
* Knowledge of medical terminology
* Good knowledge and experience of MS Outlook, MS Excel and complex telephony systems


Skills

* Ability to work as part of a team
* Good communication skills – telephone, e‑mail, face‑to‑face
* Ability to learn and adapt to complex processes and procedures
* Ability to touch‑type
