Overview
An exciting opportunity has arisen to join the Theatre and Medirooms administration team at North Bristol NHS Trust as a Theatre administrator to cover maternity leave for 1 year. The post holder will work as part of the Theatres and Medirooms admin team to provide a comprehensive administrative service to the Theatre Management team and Clinical Coordinators within theatres.
Responsibilities
* Provide a comprehensive administrative service to the theatre management team and clinical coordinators within Theatres and Medirooms.
* Provide high‑profile leadership to the department and be available to advise staff.
* Be responsible for all Health & Safety issues, ensuring staff are aware of Health & Safety policy and addressing training, operational or resource needs.
* Manage annual leave, study leave and sickness for all staff in Theatres and Medirooms using the E-Rostering system; provide information to Human Resources to facilitate manpower monitoring.
* Identify emerging sickness absence trends and report to appropriate staff.
* Monitor budget for stationery provision.
* Maintain effective department communication by attending regular team meetings and ensuring robust Directorate communication processes.
* Ensure data entry is of the highest standard.
* Provide ad hoc information and reports as required by the Theatre Coordinator/Clinical Matron/General Manager/Head of Nursing/Support Manager.
* Develop good working relationships with colleagues internal and external to North Bristol NHS Trust.
* Ensure office equipment is maintained and compliant with Health & Safety regulations.
* Attend meetings to take minutes, manage room bookings, and distribute agendas/minutes/reports.
* Represent Theatres and Medirooms at meetings as identified by the Clinical Matron/Support Manager.
* Maintain close working relationships with nursing and medical staff to provide a seamless service to patients and relatives.
* Maintain/update major incident call-out lists; collate and respond to donations and thank you letters.
* Coordinate Nursing Staff appraisals with appropriate Team Leaders and ensure timely paperwork; prompt staff regarding renewal of professional registration.
* Undertake other admin or clerical duties as delegated appropriate to the job band.

Person specification
Education/Training/Qualifications
* Essential criteria: Level 4 GCSE or equivalent in English and Maths
Desirable criteria
* Excellent IT skills (Microsoft packages)
* Full knowledge of Hospital Computer Systems (E-Rostering, Bluespier, Careflow)
Work Experience
Essential criteria
* Previous experience working as part of a team
* Following Standard Operating Procedures to complete tasks
* Experience of using initiative while knowing when to request support
Desirable criteria
* Previous NHS experience in hospital and theatre administration
Knowledge/Skills/Abilities
* Excellent analytical skills; ability to understand and work with SOPs and processes
* Customer/patient focused service delivery; organized, able to work on own initiative, make decisions and meet timelines
* Effective verbal and written communication
* Professional conduct, good interpersonal skills, flexible approach
* Microsoft Office applications, in particular Excel
