About the Role
We are seeking a highly organised and proactive Event Planner II to join a Medical Affairs Meetings & Events team on a contract basis. This mid-level position plays a critical role in thepliant planning and execution of Medical Affairs programmes, including Advisory Boards, departmental meetings, and other healthcare professional (HCP)-facing events.
The successful candidate will be a self-starter with strong experience managingplex logistics, vendor relationships, and HCP engagements within a highly regulated environment.
Key Responsibilities
Independently plan and execute Medical Affairs advisory programmes, departmental meetings, and strategic events
Ensure all HCP engagementsply with internal policies, industry regulations, and legal requirements, including contract management, payment processing, and transfer of value (ToV) reporting
Collaborate with internal stakeholders, cross-functional teams, and external vendors to deliver high-quality,pliant events
Act as the primary point of contact for HCPs and stakeholders regarding travel, honoraria, and event logistics
Submit and manage events through internalpliance systems, ensuring accurate documentation and timely approvals
Oversee the creation, execution, and tracking of HCP contracts and associated documentation
Coordinate honorarium payments and ensure accurate ToV reporting in line with global transparency requirements (, Sunshine Act, EFPIA)
Attend events to oversee delivery, including catering, travel, AV, meeting space, and off-site activities
Prepare and distribute internalmunications related to meetings and events
Conduct post-event analysis including metrics reporting, budget reconciliation, andpliance documentation
Source and rmend venues, catering, transportation, and other services in line with programme needs andpliance standards
Negotiate vendor contracts and service agreements in alignment with procurement and legal requirements
Conduct site visits to evaluate venues and services
Manage event budgets, including purchase orders, expense tracking, and reconciliation
Support process improvements and continuous enhancement initiatives
Deliver training to internal teams onpliant event execution and relevant policies
Skills & Experience Required
Bachelor’s degree or equivalent experience
Minimum of 4 years’ experience in pharmaceutical, healthcare, or event planning environments, with a strong focus on HCP engagement andpliance
Proven experience delivering end-to-end events and managing vendor relationships
Strong knowledge ofpliance requirements related to HCP interactions, including ToV reporting and contract/payment processes
Excellent project management skills with the ability to manage multiple priorities independently
Strong stakeholder management and interpersonal skills
Excellent written and verbalmunication abilities
High attention to detail with strong problem-solving capabilities
Proficiency in Microsoft Office and experience usingpliance/event management systems
Ability to work independently in a fast-paced, high-pressure environment

Experience working with global healthcarepliance frameworks
Familiarity with pharmaceutical industry event execution standards
