Job Overview
Provide administrative and secretarial support to the Theatre Management Team, effectively processing daily workloads and ad‑hoc office duties, ensuring cross‑cover where appropriate.
Key Responsibilities
* Live typing of operation notes and dictations, ensuring correct system entry and printed copies.
* Plan, organise and facilitate meetings, take minutes, circulate agendas, and dispatch call cards.
* Print and prepare theatre lists for weekly list‑planning meetings.
* Produce and circulate rotas for the Theatre Management Team, liaising with staff at all levels.
* Answer telephone calls courteously, contacting relevant departments or patients with discretion.
* Order and maintain stationary supplies.
* Record sickness, absence and annual leave for theatre teams in the eRoster system.
* Co‑ordinate and monitor mandatory training, appraisal and ‘golden patient’ sheet and other compliance activities.
* Update the Theatre Management System, unlock smartcards, request new smartcards, and log system issues with IT.
* Provide administrative support to Operational Theatre Managers, Coordinators and Band 6 staff across sites.
* Complete tertiary referrals to external Trusts and ensure PAS registration and follow‑up appointments.
* Uphold the Trust’s commitment to safeguarding children, young people and vulnerable adults.
* Cover reception desk and other duties as requested by line management.
* Maintain general office duties: copy typing, mail handling, fax, photocopying, filing and housekeeping.
* Attend meetings, training and education sessions required by management.
* Work flexibly, adhere to Trust policies and departmental Standard Operating Procedures.
Person Specification
* Qualifications (Essential)
o GSCE Standard or higher.
o RSA/OCR or equivalent typing experience.
* Experience & Skills (Essential)
o Good English language skills.
o Word‑processing and audio‑typing skills.
o Proficiency with Microsoft Office products.
o Teamwork and workload prioritisation.
o Excellent IT and communication skills.
o Accurate maintenance of filing and documentation systems.
o Initiative, adaptability, reliability and handling sensitive situations.
o Knowledge and compliance with Trust policies and data protection.
* Desirable
o Medical terminology and minute‑taking experience.
o Previous NHS or medical secretary experience.
o Medical audio‑typing experience.
o Understanding of Trust computer systems and knowledge of Trust policies.
o Time‑management skills and advanced IT knowledge.
o Excellent interpersonal skills.
