Sales Office Administrator – Printed Packaging Industry

Pay: £25,000.00-£30,000.00 per year
About Us
Gafbros Ltd is a family-run packaging business in Leicester, proudly serving the industry for over 50 years. We specialise in bespoke printed packaging for a wide range of sectors, including luxury retail (branded paper bags and rigid boxes) and food service (takeaway and disposable packaging). As our operations expand, we are seeking two permanent Sales Office Administrators to support our growing team.
The Role
This is a hands-on role for someone experienced in admin support within the printed packaging industry, particularly in areas such as luxury paper bags, boxes, and disposable food packaging. You will be involved in processing quotes, liaising with customers and suppliers, managing orders, and ensuring smooth administrative workflows across sales and procurement.
Note: This is a shared role within a collaborative team. Responsibilities will be allocated based on individual strengths and experience.
Key Responsibilities
* Handle customer quote requests via phone and email
* Input and manage data accurately, including product specs, order details, and pricing
* Check and process purchase invoices and supplier confirmations
* Liaise with suppliers, especially those producing bespoke packaging
* Assist with buying, quoting, and stock/order tracking
* Respond to customer queries professionally (no cold calling)
* Support the sales and production team with job sheets and proofs
* Contribute to process improvement and documentation
* Maintain accurate records and ensure internal systems are up to date
Requirements
* Experience in the printed packaging industry (essential)
Preferably in luxury bags, rigid boxes, food-grade packaging, or bespoke promotional items
* Minimum 2–3 years' experience in office administration or sales support
* Strong knowledge of Microsoft Excel, Word, and general computer literacy
* Confident communicating with suppliers (UK & overseas)
* Ability to manage multiple tasks in a fast-paced environment
* Attention to detail and excellent organisational skills
* Experience with quoting, buying, and production coordination (desirable)
* Team-oriented and proactive mindset
