(£25,718 p.a. FTE) HOURS: 20 hours per week, worked across 4-5 days, with possibilities for flexible and hybrid working (where these do not interfere with the responsibilities of the role) DUTIES & RESPONSIBILITIES Mission Team and Resourcing Church Project Administration * Extensive, contextual and sensitive management of the Canon Missioner/Prior’s diary, appointments and duties * Triaging, redirecting or answering post, telephone and email on behalf of the Prior and Community of St Paulinus, including consulting with them and others regarding appropriate responses where necessary * Setting up meetings as required, managing room bookings or online invitations, maintaining effective follow-up systems for actions from appointments and meetings * Assembling committee and meeting papers electronically or in hard copy as required, including obtaining briefings from other staff where needed * Working closely with the Community of St Paulinus to support the management of key relationships * Arranging to welcome visitors at the Cathedral, including occasional provision of refreshments. Act as a point of contact for the Canon Missioner/Prior (and the CsP) when they are off site or on leave * Draft papers, letters and other materials for the use of the CsP and Mission Team. Manage travel arrangements, booking travel and accommodation as required * Maintaining an effective filing system (paper and electronic i.e. using shared drives) and liaising with relevant parties about record keeping * Minute taking (occasional) for the Mission Team and (from time to time) other meetings chaired by the CsP * Ensure CsP and resourcing church/mission operations are accurately reflected in the Cathedral diary, feeding into the diary meeting General Duties: * Comply with all Cathedral policies.Carry out any reasonable request from the senior leadership/management team that falls within the capabilities and capacity of the role. * Answer telephone and meet and greet visitors as required. Assist with other administrative duties, where time permits, to support the smooth running of the Cathedral and to cover for absences. * Maintain a healthy and safe environment for yourself, colleagues and visitors – reporting and dealing with any hazards as necessary. PERSON SPECIFICATION Qualifications/Training: A professional qualification or equivalent demonstrable experience as an Administrator, Executive Assistant or comparable role Experience * At least 3 years’ experience as a personal or administrative assistant (or comparable role) working in a fast-paced environment. * Experience of the Church of England, its structure and operations * Creating, editing and managing documents, briefing, presentations and reports to a high standard and for a wide range of events * Experience of supporting clergy and/or senior stakeholders in a Church or charity context * Extensive experience of effectively communicating with internal and external stakeholders * Comprehensive diary management for senior executives Knowledge and Understanding Working knowledge of GDPR requirements for safe keeping of records and sharing date Desirable: Experience of supporting clergy and/or senior stakeholders in a Church or charity context, understanding of the Christian faith and the mission of the Church Skills and Abilities * Excellent communication, administration, time management and prioritization skills * Proficient IT skills especially with Microsoft Word, Excel and Powerpoint * Strong interpersonal and teamworking skills * Excellent attention to detail * Ability to self-manage and work independently and flexibly * High levels of critical thinking, resilience, adaptability, and initiative Desirable: Familiarity with budgeting and finance systems, project management skills Personal Attributes * Highly organised, self-motivated and flexible * Commitment to diversity, inclusion and justice * Displays high levels of integrity, discretion and confidentiality * Pro-active, remains calm under pressure and able to multi-task to meet varied deadlines. * Emotionally intelligent, able to relate to others and build good working relationships Other Requirements: Commitment to safeguarding
