The Role
This role will be the welcoming face of reception and central coordinator of the office, ensuring that all clients, visitors and internal stakeholders are greeted warmly, handled efficiently and supported professionally. 
You will manage inbound calls, maintain the reception area, support general administrative tasks across the team (including filing, data input, correspondence and office supplies). 
Key Responsibilities
Act as the first point of contact for clients and visitors 
Manage incoming calls and emails, directing enquiries to the appropriate team members promptly 
Maintain the reception area, meeting rooms and common spaces to ensure they are tidy, professional and presentable at all times
Coordinate meeting room bookings and assist with visitor arrangements, including refreshments and materials
Provide general administrative assistance to the business, including photocopying, scanning, filing and data entry
Support the production and distribution of client correspondence, documents and insurance schedules
Supporting with dictations and writing up documents for directors 
Assist with incoming and outgoing post, couriers and deliveries
Assist in organising company events and meetings
Person Specification
Fast and accurate audio typing skills
Strong knowledge of digital dictation 
Proficiency in Microsoft Office (Word, Outlook, Excel)
Excellent organisational and multitasking abilities
Strong communication skills both verbal and written 
A proactive, team oriented approach and willingness to support wider office needs
