Lung Cancer Screening Service Administrator

The post holder will work in the lung cancer screening (LCS) service and will be mainly based at the mobile vans, Unipart House, assisting the radiographic and nursing staff in the smooth running of the service. A significant part of this role will require telephone screening of participants to ascertain their risk score. Cross‑site working will be required across Oxfordshire with some regular at‑home working. The LCS service offers a 5‑day a week service for targeted participants aged between 55 and 74 who currently or previously smoked. An initial telephone appointment is followed by a face‑to‑face low‑dose CT scan if indicated. The service is mobile and moves around the county a couple of times a year.
The post holder must meet the requirements of the Health & Safety at Work Act (1974), the Control of Substances Hazardous to Health (COSHH) Regulations, the Ionising Radiation Regulations, the Data Protection Act (1984) and any subsequent legislation.
The LCS service offers multidisciplinary teamwork; the role provides administrative support to the whole team.
Responsibilities
* Introduce and welcome patients in the waiting area, confirming their identity according to the Trust policy.
* Assist patients through the appointment, including escorting to changing rooms, preparing for examination, and explaining preparatory requirements.
* Support radiographers during low‑dose CT scans, including patient positioning and equipment handling.
* Maintain accurate booking records in the Radiology Information System (RIS), Electronic Patient Record (EPR), and Nelson+ software; amend data where appropriate.
* Input and amend data on CRIS.
* Assist in the preparation and upkeep of examination rooms, including cleanliness, linen supply, and stock rotation of supplies.
* Provide telephone, e‑mail and letter communication with patients to arrange appointments, follow up non‑attenders and respond to queries.
* Act as the first point of contact for telephone and e‑mail queries from patients, relatives, GPs and other agencies, answering or redirecting queries in a timely manner.
* Perform telephone screening to identify lung cancer risk scores and support the team in managing referrals.
* Provide primary administrative support to clinical staff, diary administration, correspondence support and other administrative duties.
* Assist the Nurse Manager and Information Support Officer in ensuring efficient administration of the service.
* Lead clinic planning: manage DNAs, reschedule appointments, contributing to quality assurance and audit programme.
* Attend departmental meetings, training and annual appraisal sessions to maintain up‑to‑date knowledge of service and Trust procedures.
* Cover staff annual leave/absence, often requiring cross‑site working.
* Support and supervise training of new LCS Assistants where required.
* Maintain compliance with the Ionising Radiation Protection Regulations and Local Rules (IRR 17, IR(ME)R 17), Health & Safety, COSHH, Manual Handling, and Data Protection Act.
* Demonstrate confident communication skills, confidentiality, discretion, professionalism and a compassionate attitude at all times.
* Carry out other duties reasonably required by the role.
Person Specification
Qualifications
* GCSE or equivalent in English and Maths, grades A‑C.
* UK Driving Licence and access to own vehicle or reliable travel around Oxfordshire.
Communication Skills
* Excellent customer‑care and communication skills.
* Ability to adapt communication style to the needs of individuals.
Experience
* Proficient with MS Office (Word, Excel, Outlook).
* Evidence of working in the NHS/health‑care environment.
* Experience working in a lung cancer screening programme.
* Familiarity with LCS Nelson+ software, hospital software (CRIS, EPR).
